In this pivotal role, you will be responsible for managing all aspects of financial record keeping, including purchases, sales, receipts, payments, payroll, reconciliations, invoicing, and financial reporting. Working directly under the President, the Full Charge Bookkeeper will ensure the accuracy, integrity, and compliance of the school's accounting information by recording, verifying, consolidating, and entering financial transactions. This position is ideal for a motivated accounting professional with strong organizational skills, payroll experience, and a commitment to accuracy and confidentiality. Responsibilities Manage full-cycle bookkeeping duties, including accounts payable, accounts receivable, invoicing, payroll, purchases, sales, receipts, and payments. Maintain accurate daily financial records and ensure all records are current, organized, and compliant with applicable legal and financial requirements. Perform regular bank and account reconciliations by comparing internal financial records with bank statements and resolving any discrepancies. Create and send invoices, monitor outstanding balances, and ensure timely payment collection. Handle accounts payable and receivable, including managing vendor payments and tracking incoming payments. Manage full-charge payroll functions for employees and contractors, ensuring accurate and timely payments. Prepare and file required payroll tax returns for employees and contractors while ensuring compliance with federal, state, and local tax laws. Coordinate with an outside Certified Public Accountant for the annual audit by providing required documentation, reports, and financial support. Assist in the preparation and monitoring of budgets by providing accurate financial data to the President. Prepare regular financial statements, including balance sheets, profit and loss statements, and other financial reports as needed. Ensure compliance with internal financial policies, accounting procedures, and regulations specific to maritime education and training. Work closely with other departments to support smooth financial operations throughout the school. Perform other related duties as assigned by the President. Qualifications Associate's or Bachelor's degree in Accounting, Finance, or a related field. Minimum of 3 years of experience as a Full Charge Bookkeeper or in a similar accounting role. Experience with payroll tax filing and audit coordination is required. Familiarity with Peachtree accounting software is required. Strong understanding of accounting principles, financial record keeping, and financial reporting. Proficiency in Microsoft Office Suite. Excellent organizational skills with strong attention to detail and accuracy. Ability to work independently while also collaborating effectively with a team. Strong communication skills and the ability to work directly with leadership and other departments. Knowledge of the maritime industry is a plus.
