Job Overview We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial management. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will play a key role in maintaining financial records, managing client and team communications, and supporting daily office functions to help our organization run efficiently and effectively. Duties Manage accounts receivable and payable using QuickBooks or similar accounting software, ensuring all transactions are accurately recorded Perform data entry tasks with precision, including invoicing, expense tracking, and bank reconciliations Handle front desk responsibilities such as greeting visitors, answering multi-line phone systems, and directing calls professionally Maintain organized filing systems both digitally (using Google Workspace and Microsoft Office tools) and physically for easy retrieval of documents Assist with calendar management and scheduling appointments for team members or clients using productivity software Provide exceptional customer service by responding promptly to client inquiries via phone or email, demonstrating strong phone etiquette and client communication skills Support office management tasks including ordering supplies, organizing files, proofreading documents, and managing general clerical duties to enhance overall productivity Requirements Proven experience with bookkeeping using QuickBooks or comparable accounting software Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members Demonstrated experience in office management, data entry, clerical support, and customer service roles Effective phone communication skills with a professional demeanor and strong phone etiquette Technical proficiency in computer literacy including spreadsheets, word processing, proofreading, filing systems, and typing accuracy Prior experience as a personal assistant or administrative support role is advantageous Ability to manage time effectively while prioritizing tasks to meet deadlines Join us in this engaging role where your organizational talents and technical skills will make a meaningful impact!
