Springfield, IL, 62703 Structural Rubber Products Company, Inc. is a family-owned manufacturing company established in 1964 specializing in bridge components and engineered rubber products for state DOT and private infrastructure projects throughout the United States. We are seeking a dependable and organized Bookkeeper / Administrative Assistant to support our accounting staff and daily office operations. This position plays an important role in keeping our office running smoothly and professionally while supporting customers, vendors, shipping coordination, and internal administrative functions. This is a long-term position ideal for someone who enjoys a stable work environment, takes pride in organization and follow-through, and is comfortable working independently in a manufacturing office setting.
Responsibilities:
Accounting & Office Support Assist with accounts receivable follow-up through customer emails and phone calls regarding invoice status and payments Send invoices, certifications, lien waivers, tax exempt forms, and related documents to customers as requested Enter vendor invoices into the company ERP/accounting system Scan, organize, and maintain vendor invoice records for the Controller Research and obtain missing invoices or documentation as needed Prepare bank deposits and deliver loan payments to the bank when required Front Office Responsibilities Answer incoming phone calls and direct calls appropriately Greet and assist visitors including contractors, inspectors, vendors, and delivery personnel Receive and distribute incoming mail and packages from USPS, UPS, FedEx, and freight carriers Maintain a clean and organized front office area Shipping & Administrative Coordination Coordinate outgoing shipments through UPS, FedEx, USPS, LTL freight, and flatbed carriers Maintain office and breakroom supplies and place orders as needed Assist with company event planning and office coordination Take meeting notes/minutes as requested Provide general administrative support to ownership and office staff Safety & Employee Support Participate as part of the company safety team Assist employees with first aid supplies and incident response when needed Help coordinate transportation to medical facilities if necessary
Qualifications:
High school diploma or equivalent required Previous bookkeeping, administrative assistant, office support, or accounting support experience preferred Experience with ERP/accounting software preferred Proficient in Microsoft Office including Outlook, Excel, and Word Strong communication and organizational skills Ability to multitask and prioritize changing daily responsibilities Professional and dependable demeanor Ability to work independently and maintain confidentiality Valid driver's license required What We're Looking For We are looking for someone who is: Dependable and punctual Detail-oriented and organized Comfortable in a manufacturing office environment Professional and courteous with customers and vendors Flexible and willing to help where needed Able to work independently without constant supervision The workload in this role can vary from day to day.
