Accounting Assistant

Job Description

Overview We are seeking a detail-oriented and organized Accounting Assistant to join the IACAA team. The ideal candidate will have a strong understanding of accounting principles and practices, with experience in various accounting software. This role is crucial in supporting the financial operations of our organization, ensuring accuracy and compliance with relevant regulations. Duties Accounts Payable & Receivable Process weekly A/P, maintain vendor records, obtain W-9s, and ensure proper 1099 coding and reporting. Payroll & Employee Records Process bi-monthly payroll, set up and update payroll codes, benefits, and deductions. Handle payroll taxes, file quarterly federal/state reports, and record payroll journals. Reconcile PTO balances and ensure payroll accuracy and compliance with policies. General Accounting & Reporting Enter cash receipts and journal vouchers; reconcile the American Express account. Update distribution codes per cost allocation plans and support month-end procedures. Prepare and post recurring monthly journals (e.g., mileage, postage, copier, allocations). Maintain accurate financial files, inventory, and records in compliance with GAAP. Audit & Compliance Support Assist with annual audits, monitoring visits, and report generation. Ensure adherence to internal controls, fiscal policies, and confidentiality standards. Administrative & Program Support Support the CFO with data gathering, reporting, and financial record management. Enter and maintain DMH client transactions and documentation. Assist with conferences, board committees, and other assigned projects. Create and manage vendor files, process purchase orders, and encumber budgeted funds. Enter A/R invoices and receipts, follow up on unpaid invoices, and prepare annual 1099MISC/NEC reports. Requirements Associates' degree in accounting or three years of accounting experience in a nonprofit environment. Bachelor's degree in accounting preferred. Ability to work effectively with persons at all levels of the organization. Detail-oriented and able to work independently. Knowledge or ability to acquire knowledge in programmatic areas of activity. Excellent interpersonal and communication skills. Proficient in Microsoft Excel. Knowledge of Financial and ERP systems. Ability to multitask and prioritize work.

$30.00 - $33.00 per hour
