Construction Accounting & Job Costing Assistant MAC General Contractors | Columbus, Indiana Part-Time | 24-25 Hours per Week $22-$27 per Hour, Depending on Experience About the Position MAC General Contractors is seeking a detail-oriented Construction Accounting & Job Costing Assistant to join our growing team in Columbus, Indiana. This is not a receptionist position or traditional administrative role . The primary focus of this position is maintaining accurate construction job-cost information across QuickBooks Online, Buildertrend, and our internal project records , while also providing professional administrative and financial communication with our clients, vendors, subcontractors, and project team. You will play an important role in making sure our project financial information is accurate, current, and organized and that clients receive timely, professional communication when accounting or project documentation is needed. We're looking for someone who enjoys working with numbers, communicates well with people, catches inconsistencies, follows through on details, and takes ownership of their responsibilities. Responsibilities Enter and categorize receipts, expenses, vendor bills, and transactions in QuickBooks Online Assign invoices and expenses to the correct construction project and cost code Maintain accurate construction job-cost records Reconcile bank and credit card accounts Assist with accounts payable and accounts receivable Maintain Buildertrend financial and project information Help ensure consistency between QuickBooks, Buildertrend, and internal spreadsheets Process and track vendor invoices and purchase orders Assist with client invoicing, construction draws, and payment tracking Professionally communicate with clients regarding invoices, payments, documentation, and other project-related administrative matters Assist with client follow-up and maintain clear documentation of project financial communications Respond professionally and promptly to routine client questions and coordinate more complex project questions with management Track down missing receipts, invoices, and supporting documentation Monitor project budgets and identify budget-vs.-actual variances Track committed costs, actual costs, and remaining project budgets Maintain organized digital project and accounting files Maintain vendor and subcontractor records Track W-9s, Certificates of Insurance, lien waivers, and other subcontractor documentation Communicate with clients, vendors, subcontractors, project managers, and field personnel to resolve missing or incorrect information Assist with construction draws and project financial documentation Prepare basic job-cost and management reports Provide additional accounting and project administrative support as needed Required Qualifications Experience with QuickBooks or QuickBooks Online Strong Excel and spreadsheet skills High attention to detail and accuracy Comfortable working with financial information Strong client communication and customer-service skills Professional written, email, and verbal communication Comfortable communicating with clients regarding financial and project documentation Strong organizational and time-management skills Ability to work independently and follow tasks through to completion Ability to identify discrepancies and help resolve them Dependable, professional, and trustworthy Preferred Qualifications Construction accounting or job-costing experience Experience with Buildertrend or similar construction management software Experience in residential construction, custom home building, remodeling, general contracting, or property management Familiarity with construction cost codes and project budgets Experience with purchase orders and change orders Accounts payable and accounts receivable experience Familiarity with construction draws, allowances, and committed costs Experience communicating directly with construction clients or homeowners Experience maintaining vendor and subcontractor documentation Familiarity with W-9s, Certificates of Insurance, and lien waivers Buildertrend experience is preferred but not required. Candidates with strong construction accounting, QuickBooks, and job-costing experience who are comfortable learning new software are encouraged to apply. What Success Looks Like The right person won't simply enter numbers. You will help us maintain a consistent process where: Receipts and expenses are properly accounted for Vendor bills are entered and assigned to the correct project and cost code Project financial information remains current Missing documentation is identified and followed up on QuickBooks and Buildertrend information remains consistent Project budgets can be accurately compared against committed and actual costs Management can quickly understand where each project's budget stands Clients receive timely, professional, and accurate communication Follow-up items don't fall through the cracks We value someone who notices when something doesn't look right and takes the initiative to investigate it. This position has the potential to grow into a full-time role based on experience, performance, and the continued growth of the company. We are open to some flexibility in scheduling and will coordinate hours with the right candidate. This position supports our operations in Columbus, Indiana . Compensation $22-$27 per hour, depending on experience. Candidates with strong construction accounting experience and proficiency in QuickBooks Online, job costing, and Buildertrend will be prioritized.
