This role offers an exciting opportunity to manage essential administrative functions while maintaining accurate financial records. The ideal candidate will be energized by multitasking, possess strong organizational skills, and demonstrate a passion for ensuring smooth operational workflows. You will play a vital part in supporting our organization's financial health and administrative efficiency through meticulous bookkeeping, data entry, and office support. Responsibilities Manage day-to-day bookkeeping tasks including accounts payable and receivable, bank reconciliations, and journal entries using accounting software such as QuickBooks Online. Maintain accurate general ledger accounting records in compliance with GAAP (Generally Accepted Accounting Principles) and relevant accounting standards. Reconcile accounts regularly, including balance sheet reconciliation, account analysis, and general ledger reconciliation to ensure financial accuracy. Prepare detailed financial reports, statements, and summaries for management review. Assist with budgeting processes by tracking expenses and supporting financial planning efforts. Support governmental accounting requirements and ensure adherence to non-profit or corporate accounting practices as applicable. Utilize spreadsheets extensively for data analysis, report writing, and record keeping; maintain organized filing systems for all financial documents. Collaborate with external auditors during audits by providing necessary documentation and explanations of financial records. Perform administrative duties such as managing correspondence, scheduling meetings, maintaining office supplies, and supporting other team members as needed. Maintaining office physical and virtual filing system. Assembling tax and related documents as needed. Answering phone calls and scheduling appointments for six person staff. Maintaining company accounts receivable. Skills Extensive experience with accounting software including QuickBooks (especially QuickBooks Online). Strong knowledge of GAAP standards, governmental accounting practices (if applicable), and double-entry bookkeeping principles. Proficiency in spreadsheets (Excel), including advanced functions like pivot tables and formulas for data analysis. Experience with accounts payable/receivable management, bank reconciliations, and balance sheet reconciliation. Familiarity with public accounting practices and non-profit accounting is a plus. Ability to perform detailed account analysis and prepare comprehensive financial reports accurately under tight deadlines. Excellent organizational skills with the ability to manage multiple priorities efficiently. Strong understanding of financial concepts such as debits & credits, journal entries, general ledger accounting, and account reconciliation processes. Competency in 10-key typing for efficient data entry; attention to detail is essential for accuracy in all tasks. Knowledge of governmental or technical accounting standards is advantageous but not mandatory.
