Job Description
The AP/AR Specialist is responsible for managing the company's accounts payable and accounts receivable functions, ensuring timely processing of invoices, accurate financial records, collections, and vendor/customer account maintenance. This role supports the accounting department through transaction processing, reconciliation, reporting, and administrative support while maintaining strong internal and external relationships. Key Responsibilities Process vendor invoices accurately and timely Match purchase orders, invoices, and receiving documentation Prepare and process weekly check runs, ACH payments, and wire transfers Maintain vendor records and W-9 documentation Respond to vendor inquiries and resolve payment discrepancies Reconcile vendor statements and outstanding balances Assist with month-end closing activities related to AP Ensure compliance with company policies and internal controls Generate and distribute customer invoices Post customer payments including checks, ACH, and credit card transactions Monitor aging reports and follow up on outstanding balances Resolve billing discrepancies and customer account issues Maintain accurate customer account records Prepare AR reports and assist with cash forecasting Support collection efforts while maintaining positive customer relationships Reconcile bank and general ledger accounts Assist with audits and financial reporting requests Maintain organized financial documentation and filing systems Support month-end and year-end close processes Collaborate with operations, purchasing, and sales teams Perform other accounting and administrative duties as assigned Qualifications Associate's or Bachelor's degree in Accounting, Finance, or related field preferred 2+ years of accounts payable and/or accounts receivable experience Strong understanding of accounting principles and financial processes Proficiency in Microsoft Excel and accounting software/ERP systems High attention to detail and organizational skills Strong communication and problem-solving abilities Ability to manage multiple priorities and meet deadlines Preferred Skills Experience with ERP systems such as SAP, Oracle, NetSuite, or Microsoft Dynamics Knowledge of sales tax and invoice compliance requirements Experience in manufacturing, distribution, healthcare, nonprofit, or service industries preferred depending on company type
Compensation:
