Description :
The purpose of this position is to perform bookkeeping, accounting, and clerical work for the Paxton Municipal Light Department. Duties include managing general accounting, accounting ledgers, payroll, accounts payable, accounts receivable, bank reconciliations, jobbings, inventory and other related work as required. Reviews and ensures the accuracy and timely payments of all bills and invoices. Works under the direct supervision of the General Manager and collaborates closely with the General Foreman on job billing, inventory, and payroll matters.Essential Job Functions:
Accounts Payable:
paying invoices, posting to G/L, preparing warrants, and recording information to multiple spreadsheets.- Responsible for monthly G/L entries of cash receipts, job billing, allocation of payroll and inventory expenses to appropriate GL codes, depreciation, and purchased power expenses.
- Responsible for creating and issuing monthly invoices for the state sales tax, jobbings and motor vehicle accidents.
- Monthly reconciliations of all bank accounts to billing software, QuickBooks, and the town treasurer.
- Ensure accuracy of work orders against payroll and jobbing for proper recording.
- Responsible for ensuring accuracy of inventory purchase orders against invoices, recording purchase orders and costs into the inventory software system and inputting daily work order counts.
- Prepare documents as requested and/or required for annual reports and audit.
- Provide customer service to electric, water, and trash customers.
- Requires significant interaction with the General Manager, billing clerk, town treasurer, auditing firm, vendors, and PMLD's energy supply provider.
- Responsible for working collaboratively with the General Foreman to ensure accuracy of payroll, and billing of jobs for various projects.
- Perform office related work as required, directed, or as situation dictates of lesser or greater responsibility.
- Cross train with the Billing Clerk to provide coverage of essential job functions during vacations.
