Job Description

Job Summary We are seeking a detail-oriented and energetic bookkeeper to join our dynamic team. In this vital role, you will manage the financial records of our restaurant and catering operations, ensuring accuracy and compliance with accounting standards. Your expertise will help drive financial clarity, support budgeting efforts, and maintain seamless bookkeeping processes. This multifaceted role covers financial bookkeeping and payroll as well as coordination with our external Accountant for tax preparation. You will work directly with the Management Team to ensure the business remains compliant, organized, and profitable. This position offers an exciting opportunity for someone passionate about accounting and eager to contribute to a thriving hospitality environment. Key Responsibilities Financial and Tax Management •
Daily Reconciliation:
Use QuickBooks Online (QBO) and Toast POS system to reconcile restaurant sales and credit card processing against bank deposits. •
Accounts Payable:
Use QuickBooks Online to process vendor payments, including data entry of invoices and expense coding, and maintain vendor records to ensure we are compliant with IRS guidelines for Form 1099 reporting •
Vendor Credit Applications:
Prepare and submit credit applications for new vendors to establish terms and manage the property's purchasing power. •
Payroll Processing:
Verify hours and tip pools in Toast to prepare for final payroll processing. •
Event Billing:
Manage the lifecycle of event payments within Tripleseat, ensuring wedding deposits are collected on schedule and final balances are settled as well as reconciling event payments against bank deposits received in QBO. •
General Ledger:
Maintain accurate records in QBO, including data entry, bank reconciliations and credit card account reconciliations. •
Budgeting:
Monitor actual financial results versus the budget, assist Management with developing and implementing annual budgets. •
Sales Tax Compliance:
Prepare and file monthly Maryland Sales and Use Tax returns and Alcohol Tax reports. •
External Liaison:
Organize and provide all necessary financial documentation to our External Accountant for year-end tax preparation. Human Resources & Personnel •
Record Keeping:
Maintain secure, up-to-date personnel files for all staff. •
HR Support:
Assist with onboarding new hires (I-9s, W-4s, and handbook signatures) and tracking employee certifications (e.g., TIPS/TAM or ServeSafe). •
Compliance Assistance:
Respond to any employee-related requests for unemployment and workers compensation claims, garnishment requests, and other similar external requests for employee matters Qualifications •
Education:
Associate's or Bachelor's degree in Accounting or Business (or 2+ years of relevant experience). • Software Stack ○
Required:
Proficiency in QuickBooks Online and Excel. ○
Preferred:
Experience with Toast POS and Tripleseat. •
Compliance Knowledge:
Basic understanding of accounting principles, Maryland payroll and sales tax regulations. •
Discretion:
High level of integrity when handling sensitive personnel files and financial data. •
Organization:
The ability to pivot between a tax deadline, a vendor application, and an HR question with ease. Strong understanding of GAAP standards and technical accounting practices relevant to small business operations. 10 key typing skills for quick data entry along with attention to detail in account analysis and report writing.
