Job Description

Job Summary We are seeking an experienced payroll, onboarding, and accounts payable professional to support payroll, bookkeeping, accounts payable, onboarding, and administrative functions. Experience in the construction industry is strongly preferred; however, we welcome candidates with strong payroll, bookkeeping, and accounts payable fundamentals who are willing and able to learn construction-specific processes and compliance requirements. Individual must be willing to roll up their sleeves and be involved in the work along with having the ability to work as part of a team and independently
Key Responsibilities:
Process weekly payroll accurately and on schedule Review and verify employee hours, job costing, pay classifications, fringes, deductions, reimbursements, workers' compensation codes, and related payroll information Prepare and submit certified payroll reporting, labor compliance documentation, prevailing wage requirements, and related reporting obligations Track prevailing wage and fringe benefit requirements by project, classification, county, and funding source, as applicable Maintain accurate payroll records, including wage rates, deductions, direct deposit, tax forms, benefits, compliance documents, W-2s, ACA reporting, and related reconciliations Enter Accounts Payable invoices with accurate vendor, job, cost code, and general ledger coding Review vendor statements, resolve discrepancies, and assist with weekly check runs, lien waivers, subcontractor payments, and vendor compliance. Maintain organized AP records, including invoices, approvals, payment confirmations, vendor files, W-9s, insurance certificates, and lien waivers Support audits, compliance reviews, workers' compensation audits, governmental reporting requests, and related documentation Monitor deadlines for payroll, state reporting, vendor payments, and compliance requirements Assist with new hire onboarding, employee record setup, payroll documents, benefits paperwork, and HR filing Maintain organized HR and employee files, including onboarding documents, payroll forms, benefits records, background check documents, policy acknowledgements, and compliance paperwork Maintain confidentiality of employee, payroll, vendor, financial, and company information, exercising discretion with both internal communications and third-party interactions
Preferred Experience:
Experience processing payroll, accounts payable, bookkeeping, and/or accounting functions Experience with construction accounting and payroll software, including Foundation, Viewpoint Vista, CMiC, Sage, or similar ERP platforms, is preferred but not required Experience with labor compliance, benefits administration, reporting, and employee onboarding is highly preferred; however, we welcome candidates who possess strong foundational skills and a willingness to learn Familiarity with construction job costing, cost codes, prevailing wage classifications, and public works compliance is preferred Excellent attention to detail, organization, follow-through, and ability to meet deadlines Year-end bonus eligibility based on company/employee performance
Pay:
$75,000.00 - $80,000.00 per year
