As we continue to grow, we're looking for an experienced Bookkeeper & Office Coordinator to oversee our accounting operations while supporting our HR and office functions. Position Summary The Bookkeeper & Office Coordinator is responsible for managing the company's full-cycle accounting while supporting employee onboarding, benefits administration, and general office administration. The accounting responsibilities include everything from daily bookkeeping through month-end close. The remainder of the role focuses on HR coordination and office support. You'll work closely with ownership and our outside CPA to ensure accurate financial records and efficient business operations. What You'll Do Full-Cycle Accounting (Primary Responsibility) You will own the company's day-to-day accounting functions from transaction entry through month-end close.
Responsibilities include:
- Manage Accounts Payable and Accounts Receivable
- Generate customer invoices using ServiceTitan?
- Record vendor bills and company expenses
- Apply customer payments and monitor outstanding receivables
- Reconcile bank accounts and credit card statements
- Maintain accurate financial records in QuickBooks Online
- Prepare journal entries and month-end reconciliations
- Produce monthly financial statements and reports for ownership
- Monitor cash flow and company spending
- Maintain fixed assets
- Maintain organized accounting records and supporting documentation
- Collaborate with our CPA for year-end financial reporting and tax preparation
- Identify opportunities to improve accounting processes and efficiencies Human Resources & Employee Administration
- Coordinate onboarding for new employees
- Maintain employee personnel files and HR documentation
- Administer employee benefits, including medical, dental, vision, life insurance, and 401(k)
- Coordinate payroll and HR-related items with our payroll provider
- Track apprenticeship documentation and compliance through Michigan Works
- Support employee communications and maintain confidentiality of personnel information Office Administration
- Assist with general office operations
- Answer phones and assist customers as needed
- Maintain organized office records and filing systems
- Support leadership with administrative projects
- Help improve office procedures and workflows
- Assist with additional administrative tasks as needed
What We're Looking For:
We're looking for someone who is dependable, detail-oriented, and enjoys taking ownership of their work. The ideal candidate is comfortable managing accounting independently while also supporting the day-to-day operations of a growing business.Required Qualifications:
- 3+ years of bookkeeping or full-cycle accounting experience
- Strong understanding of Accounts Payable, Accounts Receivable, bank reconciliations, and month-end close
- Experience using QuickBooks Online
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Ability to prioritize multiple responsibilities
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and professionalism Preferred Qualifications
- Experience with ServiceTitan/Fiededge or similar field service software
- Experience working in HVAC, construction, plumbing, or another service-based business
- Experience supporting payroll or HR administration
- QuickBooks Online Certification Education
- High school diploma or GED required
- Associate degree in Accounting, Business, or a related field is a plus, but not required
