Job Description

The Payroll/Accounting Specialist is primarily responsible for accurately processing weekly and biweekly payrolls for multiple HVAC service companies. This includes managing nine payrolls for over 70 employees. The role oversees payroll tax compliance across all operating states, collaborates with Human Resources, and maintains payroll system data. This is a full-time, salaried, exempt, in-office position reporting to the Vice President of Finance Additionally, this position supports Accounts Payable, Accounts Receivable, and other duties as assigned. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced, multi-entity environment. Key Responsibilities Process weekly and biweekly payrolls for all QuesTec service branches, including payroll system administration, 401(k) contributions, banking activities, and benefit-related transfers. Assist with annual payroll system updates, including benefits, liabilities, and tax rate changes. Review and verify payroll entries for accuracy and ensure compliance with company policies. Distribute pay statements and respond to employee payroll-related inquiries in a timely manner. Prepare and process payroll taxes across all states in which the company operates. Ensure compliance with federal, state, and local payroll regulations. Complete monthly, semimonthly, quarterly, and year-end payroll reporting (Forms 941, W-2, etc.). • Maintain strict confidentiality of sensitive payroll and employee information. Support Accounts Payable and Accounts Receivable functions, as well as other duties as assigned. Provide payroll-related reports for audits and other business needs. Collaborate with Human Resources, Accounting, and service company leadership to ensure payroll accuracy and maintain up-to-date employee information within payroll systems. Identify and participate in process improvements to enhance efficiency across payroll and accounting workflows. Qualifications Bachelors degree in or related to Business, Accounting Previous payroll processing experience (multi-entity or multi-state preferred). Knowledge of payroll regulations and tax requirements. Strong data entry accuracy and attention to detail. Basic accounting knowledge or experience supporting accounting functions. Proficiency in payroll software platforms. Excellent organizational and communication skills. Experience in construction, HVAC, skilled trades, or service industry preferred. Familiarity with multi-state payroll tax filings preferred
