Position:
Bookkeeper/ Office Manager/Admin Administrative Support:
Provide general administrative support, including managing phone calls, emails, and correspondence. Schedule appointments, meetings, and travel arrangements. Maintain filing systems, both physical and electronic, ensuring documents are organized and easily accessible. Creating expense reports, project tracking reports and travel tracking reports. Filing documents and assisting with tax filing and audit processes. Assist in preparing presentations, reports, and other documents as needed. Manage weekly, bi-weekly, semi-monthly and monthly payrolls for all entities. Confirm all payroll taxes and reports are paid and filed in a timely manner. Coordinate office supplies, equipment maintenance, and vendor relationships. Perform special projects and ad hoc analysis as required. Accounts Payable (A/P)
Management:
Process vendor invoices, verifying accuracy and adherence to company policies. Prepare and process payments to vendors, ensuring timeliness and accuracy. Maintain vendor records, including contact information and payment terms. Maintain vendor relationships by responding to inquiries, resolving payment-related issues and addressing concerns. Assist in month-end and year-end closing activities related to accounts payable as needed. Enter financial data into accounting systems accurately and in a timely manner. Maintain detailed records of invoices, payments, and other financial transactions. Maintain confidentiality and integrity of financial and sensitive information. Accounts Receivable (A/R)
Management:
Process quarterly invoice for travel.
Qualifications:
High school diploma or equivalent; additional certifications or coursework in accounting or business administration is a plus. Proven experience as an Administrative Assistant and A/P responsibilities. Proficient in using office software applications (e.g., Microsoft Office Suite, excel, spreadsheets, email, and calendar management). Knowledge of QuickBooks, Sage Intacct and/or the willing to learn new accounting software. Strong attention to detail and accuracy in data entry and record keeping. Familiarity with accounting principles and accounts payable processes. Excellent organizational and time management skills. Effective communication and interpersonal abilities. Ability to handle sensitive and confidential information with discretion. Strong problem-solving and decision-making skills. Ability to work independently, prioritize tasks, and meet deadlines. Able to work well within a team environment.
