The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various productivity software. This role is vital in maintaining efficient workflows, supporting staff, and delivering exceptional customer service. The Office Manager will be responsible for managing administrative tasks, coordinating schedules, and ensuring that office procedures are followed effectively. Duties Manage daily office operations, including overseeing clerical tasks and administrative functions Become proficient in Jobtread builder software Handle permitting and contracts Utilize QuickBooks for invoicing, billing, and financial record-keeping Prepare and proofread documents using Microsoft Office applications such as Word and Excel, including spreadsheets and reports Maintain accurate data entry records and manage filing systems both electronically and physically Provide front desk support, greeting visitors, clients, and vendors in a friendly manner Support client communication through phone, email, and in-person interactions Assist with client support and customer service inquiries to ensure satisfaction Organize meetings, prepare agendas, and take meeting minutes as needed Support other administrative projects or tasks as assigned to enhance office productivity Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software Experience with QuickBooks or similar accounting software is preferred Excellent communication skills both verbal and written Strong computer literacy including data entry, spreadsheets, proofreading, and document formatting Demonstrated ability to manage time effectively and prioritize tasks efficiently Previous experience in customer service or front desk operations is desirable High school diploma or equivalent; additional certification in office administration is a plus This position offers an opportunity to be an integral part of a dynamic team where organizational excellence is valued.
