Job Description

The Accounts Receivable Coordinator plays a key role in the University's Business Office by managing student billing, payment processing, and account reconciliation. This position ensures that tuition, fees, and related charges are billed accurately and that all student accounts are maintained in compliance with institutional and regulatory requirements. Through attention to detail and a commitment to service, the Coordinator supports both the University's financial health and the student experience. Working under the direction of the Comptroller, the Coordinator oversees the full cycle of accounts receivable operations—from generating invoices to posting financial aid and processing refunds. The position collaborates closely with Financial Aid, the Registrar, and Business Office staff to ensure data consistency and timely account resolution. The Coordinator also provides clear and professional communication to students and families regarding account balances, payment plans, and billing inquiries. The ideal candidate is organized, customer-focused, and detail-oriented, with strong analytical and communication skills. ESSENTIAL FUNCTIONS
Prepare and issue student billing for tuition, housing, dining, and other institutional charges. Post student payments, scholarships, grants, and financial aid disbursements accurately and promptly. Manage payment plans and monitor outstanding balances, coordinating follow-up on delinquent accounts. Reconcile student accounts and related general ledger entries on a regular basis. Coordinate with the Financial Aid Office, Registrar, and Business Office staff to ensure data consistency. Respond to inquiries from students, parents, and campus departments with professionalism and accuracy. Support annual audits and financial reporting by preparing documentation related to accounts receivable. Identify opportunities to improve billing accuracy, streamline processes, and enhance customer service.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES
Knowledge of accounts receivable processes, billing, and collections. Strong attention to detail and commitment to accuracy. Excellent organizational and time management skills. Effective written and verbal communication abilities. Ability to provide friendly, professional customer service in a fast-paced environment. Proficiency with accounting software, spreadsheets, and data entry systems. Ability to maintain accurate records and handle confidential information appropriately. Collaborative and team-oriented approach to problem-solving.
EDUCATION AND EXPERIENCE
Bachelor's degree in Accounting, Business Administration, or related field. 1-3 years of experience in accounts receivable, billing, or student account management. Familiarity with Title IV financial aid regulations and FERPA requirements. Experience in higher education or nonprofit financial administration. Demonstrated ability to resolve complex account issues with diplomacy and efficiency.
