PART-TIME BOOKKEEPER SUMMARY
Serves as the Bookkeeper to the Director for Library municipal and Trustee finances, in conformity with the mission/goals/objectives and policies established by the Board of Trustees, and with all appropriate municipal, state, and federal laws and regulations. Reports to the Director. The Bookkeeper is accountable for the following areas of responsibility:
  • Assisting the Director with administrative duties pertaining to the municipal budget and Board of Trustee finances
  • Maintaining records of invoices received and submitted for payment
  • Financial data entry
ESSENTIAL JOB FUNCTIONS
  • Provides administrative support to the Library Director and Assistant Director, regarding Library municipal and Library Trustee financial records and storage.
  • Abides by all Library and Town financial policies, procedures and practices.
  • Practices excellent internal and external customer service techniques.
  • Maintains confidentiality of sensitive library information and records.
FINANCE:
  • Receive and verify accounts payable invoice with the Director
  • Create checks for all accounts payable invoice for signature by the Library Trustees Verify all payments have approved purchase orders and initials for approval File all paid invoices, check stubs, deposit receipts, etc. Prepare all audit materials in July for the auditors Tracks spending and keeps accurate records of municipal budget
  • Uses Unifund, Quickbooks, Excel, Square, the library's ILS and other software to track library and Trustee finances, including donations and Trust Funds
  • Make bank deposits as required Balance all checkbooks and maintain accurate checkbook information in Quickbooks
  • Assists with compiling financial records for Annual Reports Assists with the development of the municipal budget
  • Provides Town Finance Department with W-9 forms for all new vendors
  • Practice good vendor service relations when dealing with problems with payments and bills
OTHER DUTIES AND RESPONSIBILITIES
  • Order all library office supplies Oversees special projects at discretion of Director. Maintains staff salary and benefit records
  • May assist with finding and writing grants. May assist with compiling statistics Attend workshops, meetings, and seminars when appropriate
  • Performs other duties as needed.
SKILLS/EXPERIENCE/TRAINING REQUIRED
  • High School Diploma/GED required. Preferred Associate's or Bachelor's Degree and three to five years of related experience.
  • Prior experience in bookkeeping functions, including handling of accounts receivable/accounts payable functions; three to five years of related experience preferred. Knowlege of basic bookkeeping functions and Quickbooks. Experience with municipal software a plus
  • Detail-oriented with strong organizational skills. Ability to problem-solve, stay on task, and manage assignments independently.
  • Excellent oral and written communication skills. Ability to work productively both independently and as a collaborative team member.
  • Knowledge of administrative office procedures, practices, and equipment which includes use of technology, scanners, copiers, and peripheral equipment.
  • Proficiency with Quickbooks, Excel, and MS Office Suite and other financial management software.

SUPERVISORY RESPONSIBILITY
  • This job has no supervisory responsibility.
  • May coordinate special projects at the discretion of Director.
WORKING CONDITIONS/PHYSICAL DEMANDS
  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • Regularly required to walk, stand, bend, reach, stoop/squat, lift books and materials and equipment.
  • Extended periods at terminal, on telephone, and operating office machines requiring eye-hand coordination and finger dexterity.
  • Must be able to work in an environment that routinely has regular interruptions to assist staff.
