Job Description

Southwestern College is now accepting applications for a part-time Accounting Assistant to join its Business Office team. This is an exciting opportunity for a diverse range of candidates, from an accounting student wanting to strengthen their skills in a supportive learning environment to a retired accounting professional desiring to support the missions of higher education and mental health access in our region. The Accounting Assistant's primary responsibilities are to process accounts payable and receivable transactions and support the Accountant and CFO. The successful candidate will have an associate's degree in accounting or comparable experience working in an accounting office. POSITION SUMMARY
: The Accounting Assistant helps keep day-to-day accounting running smoothly by making sure transactions are entered correctly, accounts are kept up to date, and records are organized. This role supports the end of month close, processes accounts payable and receivables, and works closely with the accountant to identify and resolve issues as they arise.
ESSENTIAL DUTIES & RESPONSIBILITIES
:
Accounts Payable & Expense Processing:
Processes invoices and payments accurately and on time so vendors are paid correctly and expenses are recorded correctly. Collects W-9s for vendors and prepares 1099's for timely filing. Collects credit card receipts, codes expenses, and uploads transactions into MIP.
Accounts Receivable & Cash Application:
Supports accurate recording and application of incoming payments, contributing to reliable cash balances and up-to-date receivable records. Responsible for monthly gross receipts tax reporting.
Bank Account Reconciliations:
Performs routine reconciliations to ensure accuracy of financial data and timely identification and resolution of discrepancies.
Data Entry & Financial Record Maintenance:
Maintains organized and accurate financial records across accounting systems, supporting audit readiness and reliable reporting. Support for

Assists in the monthly close process by preparing entries, gathering documentation, and ensuring transactions are recorded completely and accurately.
Compliance & Documentation:
Follows established processes and keeps documentation organized to support audits and internal controls.
Cross Departmental Support:
Works with other departments and outside contacts to answer questions and resolve billing or payment issues.
Process Improvement & Organizational Support:
Identifies opportunities for increased efficiency and accuracy, contributing to continuous improvement of accounting processes.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES & DISPOSITIONS
:
Knowledge:
Basic accounting principles, accounts payable and receivable processes, and general office procedures.
Skills:
Attention to detail, data entry accuracy, organization, time management, and clear communication. Proficiency with Excel and other Microsoft office programs
Abilities:
Manage routine financial processes, maintain accuracy in a high-volume environment, follow procedures, and meet deadlines.
Dispositions:
Reliability, accountability, willingness to learn, and openness to feedback.
MINIMUM QUALIFICATIONS
: Associate's degree in accounting or related field, or equivalent experience Basic understanding of accounting principles Experience with accounting software (MIP, QuickBooks, or similar) Experience with accounts payable and/or accounts receivable Proficiency in Microsoft Excel and general computer skills Strong attention to detail and accuracy Ability to manage workload and meet deadlines Ability to communicate effectively and maintain positive working relationships
PREFERRED QUALIFICATIONS
: Experience in nonprofit or higher education environments
WORK CONDITIONS
: Work is performed in an office environment and requires prolonged periods of sitting or standing at a desk, repetitive hand and wrist movements, and the ability to operate standard office equipment. Occasional lifting of up to 15 lbs. may be required.
Pay:
$18.00 - $23.00 per hour
