This role combines bookkeeping, payroll administration, project support, and office coordination to help keep business operations running efficiently. The ideal candidate is proactive, resourceful, and comfortable managing both financial responsibilities and operational tasks in a fast-paced, project-driven environment. Responsibilities Bookkeeping & Financial Administration Manage day-to-day bookkeeping activities, including accounts payable, accounts receivable, and bank reconciliations Maintain accurate financial records and ensure timely data entry in QuickBooks or similar accounting software Process vendor invoices, client invoices, payments, and expense reports Administer payroll using Paycom or a similar payroll platform Process weekly payroll accurately and on schedule Manage union payroll reporting, fringe benefits, and labor allocations Track project costs, labor expenses, and job-specific budgets Prepare financial reports and assist with month-end and year-end closing activities Support management with budgeting, cash flow tracking, and financial reporting Maintain organized digital and physical financial records Office Operations & Project Support Support project managers with administrative and operational tasks Coordinate with vendors, suppliers, clients, and union labor providers Assist with scheduling, project tracking, and deadline management Help organize project documentation, contracts, work orders, and event-related paperwork Coordinate shipping schedules, vendor communications, and logistics support Track project expenses and help ensure jobs remain organized and on budget Assist with inventory tracking and management of exhibit assets and materials Support general office operations and help maintain efficient workflows across departments Qualifications Minimum 3 years of bookkeeping and payroll experience Strong proficiency in QuickBooks and Microsoft Excel Experience processing payroll through Paycom or a similar payroll system Working knowledge of union payroll, fringe benefit reporting, and labor compliance requirements Experience with project/job costing and project-based accounting Strong organizational and multitasking skills Excellent attention to detail and accuracy Professional communication and problem-solving abilities Ability to work independently while managing multiple priorities Tradeshow, exhibit, event production, convention services, construction, or related industry experience preferred Experience working with union labor environments, including IATSE and Teamsters, is highly desirable Ideal Candidate The ideal candidate is organized, dependable, and enjoys being a key support person within the organization. They have strong bookkeeping and payroll skills, understand the importance of accuracy and deadlines, and are comfortable helping coordinate the many moving parts of tradeshow and event projects from the office. They take initiative, communicate effectively, and help ensure that both financial operations and project workflows run smoothly.
