Job Description
Bookkeeper / QuickBooks Online & Job Costing Specialist Small Landscaping Company We are an established landscaping company looking for an experienced, organized, and dependable Bookkeeper / QuickBooks Online Specialist to manage our day-to-day bookkeeping and help us improve our job costing and financial tracking. We operate multiple areas of our business, including landscape installation, landscape maintenance, and snow removal, and we need someone who understands how to properly organize customers, projects, income, and expenses in QuickBooks Online. Responsibilities Manage and maintain QuickBooks Online Set up and maintain customers and projects Properly categorize income and expenses Track expenses and profitability by project/job Maintain accurate job costing Create and send customer invoices Enter and track accounts receivable Enter bills and manage accounts payable Track customer payments and outstanding balances Reconcile bank and credit card accounts Maintain vendor information Help ensure labor, materials, subcontractors, equipment, and other job costs are assigned to the correct projects Produce basic monthly financial and job-costing reports Help ownership understand which jobs and divisions are profitable Work with our CPA/accountant as needed Keep QuickBooks organized, accurate, and up to date Qualifications We are looking for someone who: Has strong experience with QuickBooks Online Has hands-on bookkeeping experience for a small business Understands job costing and project-based accounting Is comfortable with accounts payable and accounts receivable Understands basic financial statements, including Profit & Loss and Balance Sheet reports Is highly organized and detail-oriented Can identify bookkeeping problems and recommend better processes Is comfortable working directly with the business owner and management team Can work independently and follow through on responsibilities Experience with landscaping, construction, concrete, excavation, or another contractor/service business is strongly preferred. What We Are Looking For We are not simply looking for a data-entry bookkeeper. We want someone who can take ownership of our QuickBooks system and help us get accurate, useful information out of it. A major priority is improving our job costing so we can quickly see: Estimated cost vs. actual cost Labor cost Material cost Equipment cost Subcontractor cost Total job cost Gross profit Profit margin Accounts receivable Accounts payable The right person will help us keep our books clean while also giving management better information to run the business.
