Job Description

Job Summary We are seeking a detail-oriented and proactive Accounting Specialist to join our dynamic finance team. In this role, you will be responsible for managing various accounting functions, ensuring accuracy in financial data, and supporting compliance with accounting standards and regulations. Your expertise will help maintain the integrity of our financial records and contribute to the overall financial health of the organization. Responsibilities Perform general ledger accounting, including journal entries, account analysis, and balance sheet reconciliation to ensure accurate financial reporting. Maintain accurate, current books for a portfolio of individual and small business clients in QuickBooks Desktop and QuickBooks Online.
Record and reconcile all transactions:
accounts payable, accounts receivable, bank and credit card accounts, payroll journal entries, and inter-company transfers. Perform monthly, quarterly, and year-end close procedures; produce and deliver financial statements (P&L, balance sheet, cash flow statement). Identify and resolve coding errors, reconciliation discrepancies, and missing transactions; document findings and corrections clearly. Prepare and file sales tax returns; monitor state and local compliance calendars for assigned clients. Prepare and send Form 8879 (IRS e-file Authorization) and state equivalent e-sign forms via DocuSign; track completion status and follow up with clients on outstanding signatures. Set up and manage client portal access — create accounts, send invitations, reset credentials, and ensure clients can securely upload documents and retrieve completed returns. Serve as the first point of contact for client e-sign and portal troubleshooting: diagnose issues with DocuSign emails (spam filters, expired links, browser compatibility), guide clients step-by-step through the signing process, and escalate unresolvable technical issues appropriately. Verify that all required signatures and authorizations are obtained before returns are transmitted or released to clients. Maintain a real-time tracking log of unsigned engagements and proactively follow up to prevent filing delays. Communicate clearly and patiently with clients of varying technical comfort levels via phone, email, and the client portal. Requirements Proven experience in corporate or governmental accounting environments with a strong understanding of financial concepts and accounting software such as QuickBooks, UltraTax, Microsoft Knowledge of GAAP standards, SOX compliance procedures, and tax regulations related to financial reporting. Demonstrated ability in account reconciliation, journal entries, double-entry bookkeeping, and balance sheet management. Familiarity with payroll systems like ADP, Paychex, Ceridian, or UltiPro for payroll processing and management. Strong data entry skills with high accuracy (10 key typing), along with excellent math skills for account analysis and financial calculations. Experience working with public accounting firms or in a non-profit setting is a plus. Effective communication skills combined with a keen eye for detail to ensure precise financial documentation.
