Job Description

Job Summary We are seeking a dynamic and detail-oriented Bookkeeper / Administrative Assistant to join our team! This vital role combines accurate financial record-keeping with efficient administrative support, ensuring smooth daily operations. The ideal candidate will be energetic, organized, and possess excellent communication skills, ready to handle a variety of clerical and bookkeeping tasks as well as manage phone call receptions. If you thrive in a fast-paced environment and enjoy supporting a busy office, this opportunity is perfect for you! All roles are paid positions, emphasizing the importance of your contribution to our team's success. Responsibilities Manage accounts payable and receivable using QuickBooks and Auto Fluent software to ensure accurate financial records Perform data entry, invoicing, billing, and bank reconciliations with precision and attention to detail, as well as running weekly payroll Handle front desk duties, including managing multi-line phone systems, and providing basic customer service to Maintain organized filing systems for both digital and paper documents, ensuring easy retrieval and confidentiality Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings Assist with clerical duties like proofreading documents, preparing correspondence, and managing office supplies Provide customer support via phone or email, demonstrating professional phone etiquette and responsiveness Skills Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
  • Auto Fluent is a very user friendly program, common within the automotive industry and training will be provided Strong organizational skills with the ability to multitask efficiently in a busy office and blue collar environment (position has dedicated office) Excellent computer literacy including data entry, filing, Google Workspace tools (Docs, Sheets, Calendar)
  • MS Office skills are cross-functional with Google Workspace Bilingual abilities are a plus for effective communication with diverse clients and team members Previous office experience in administrative or clerical roles is highly desirable Exceptional phone etiquette with experience managing multi-line phone systems and customer inquiries Attention to detail in proofreading documents, random invoice price audits, and maintaining accurate records Punctuality and Time management skills to prioritize tasks effectively throughout the workday Personal assistant or receptionist experience within the automotive industry is advantageous but not required Join us in creating a vibrant work environment where your organizational talents and administrative expertise make a real impact!
