In this role, you will support the daily operations of our accounting department by handling vital administrative and bookkeeping tasks. Your primary focus will be maintaining accurate financial records, processing transactions, and reconciling accounts to ensure financial integrity. The ideal candidate has a strong mathematical aptitude, excellent time-management skills, and a commitment to accuracy.
Key Responsibilities Data Entry:
Input daily financial transactions, invoices, receipts and job costs into the accounting software. Accounts Payable (AP): Review, verify, code, and process vendor invoices for timely payment. Accounts Receivable (AR): Prepare client invoices, post customer payments, and track delinquent accounts.
Reconciliations:
Match vendor statements to processed invoices. Reconcile AMEX and KeyBank credit card bills with the general ledger. Ensure proper documentation is submitted for charges.
Reporting:
Help Accounting Department with compiling weekly, monthly, and quarterly financial summaries.
Record Keeping:
Maintain secure, organized, and legally compliant digital and physical financial filing systems.
Communication:
Act as a main point of contact for vendor payment inquiries.
Audit Support:
Gather and organize financial documentation for internal or external financial audits.
Qualifications & Skills Education:
Minimum Associate Degree in Accounting or Business preferred.
Experience:
1-3 years of experience in an administrative, clerical, or bookkeeping role.
Software Proficiencies:
Practical familiarity with spreadsheets like Microsoft Excel and accounting systems.
Mathematical Competency:
Strong numerical accuracy and problem-solving skills for resolving ledger gaps.
Discretion:
High level of professional integrity when managing sensitive corporate financial data.
Communication Skills:
Clear verbal and written English communication for cross-departmental collaboration.
