Job Description

The Accounts Payable Clerk assists in the day-to-day accounting functions of the facility, ensuring accuracy and compliance with generally accepted accounting and cost reimbursement principles in the healthcare industry. This role supports the processing of invoices, payments, and account reconciliations while maintaining organized and accurate financial records. This position is directed by and reports to the Controller.
Qualifications:
Highschool diploma required Associate's degree in accounting or business administration is preferred. Accounting experience preferred but not required.
Primary Duties and Responsibilities:
Review and verify invoices, obtain required approvals, and process payments in accordance with established procedures and terms. Investigate and resolve discrepancies or questionable items related to pricing, quantities, or vendor information.
Review and authorize expense reimbursements:
Review expense reports to ensure accuracy, adherence to company policies, and completeness of required documentation. Confirm expense coding and posting to the appropriate accounts and periods for accurate financial reporting. Secure appropriate management approvals and documentation prior to payment processing in compliance with internal controls. Prepare and process ACH transfers, including insurance claims and authorized payments, following proper approval protocols from the Controller. Reconcile vendor statements monthly to ensure all invoices are received, processed, and paid, resolving any outstanding variances promptly. Provide necessary documentation and support during internal and external audits, ensuring completeness and accuracy of payable records.
Skills and Abilities:
Excellent organizational skills to manage multiple tasks and meet deadlines. Skilled in using computer software, including spreadsheets, word processing, and financial management applications. Knowledge of generally accepted accounting principles (GAAP) and applicable regulations. Attention to detail to ensure accuracy in financial records and reports.
Physical Demands and Work Environment:
Ability to occasionally lift and carry items weighing up to 20 pounds, such as files or office supplies. Ability to read, analyze, and interpret written materials on a computer screen or paper. Ability to communicate effectively through reading, writing, and speaking in person or on telephone. Requires frequent use of the computer with prolonged periods of sitting at a desk. Must be able to perform the primary duties and responsibilities of the job with or without reasonable accommodation.
