Part-time Bookkeeper Job Description Mission Statement Dawn's Place is a nonprofit organization that proactively supports women affected by commercial sexual exploitation (CSE) and its abuse by providing direct services to women and raising awareness through education, prevention, public policy reform, and community collaboration. We believe that commercial sexual exploitation is a violation of human rights and one of the most extreme forms of domestic violence. Dawn's Place works to improve the lives of women trapped by, or at risk for, commercial sexual exploitation through providing safe housing, trauma recovery services, vocational training, advocacy, and other supportive services that promote healing, empowerment, and long-term independence. Reports To… Executive Director Position Summary The Bookkeeper is responsible for maintaining the financial records and day-to-day accounting functions of Dawn's Place. This position supports the Executive Director by ensuring accurate financial recordkeeping, timely reporting, and compliance with nonprofit accounting standards and organizational policies. Dawn's Place operates using a cash-basis accounting system , and the Bookkeeper is responsible for accurately recording and reporting financial activity in accordance with cash-basis accounting principles. The ideal candidate is organized, detail-oriented, dependable, and able to manage multiple priorities while maintaining strict confidentiality. This position plays an important role in supporting the financial health and sustainability of the organization. Essential Duties and Responsibilities Financial Recordkeeping and Accounting Maintain accurate and current financial records, journals, and ledgers. Record all financial transactions in accordance with cash-basis accounting principles. Reconcile bank accounts and monitor account balances. Coordinate and prepare bank deposits. Match invoices, receipts, and supporting documentation. Monitor organizational expenses and maintain accurate records of cash receipts and disbursements. Maintain organized financial files and supporting documentation. Maintain and reconcile restricted and unrestricted funds in accordance with donor and grant requirements. Accounts Payable and Payroll Process and pay approved vendor invoices in a timely manner. Track accounts payable and maintain vendor records. Assist with payroll processing and payroll-related reporting and maintain payroll records as required. Financial Reporting Prepare monthly financial reports for the Executive Director, Finance Committee, and Board of Directors. Develop and maintain financial statements, including: Statement of Financial Position (Balance Sheet) Statement of Activities Cash Flow Reports Prepare monthly budget-to-actual reports for review by the Executive Director, Finance Committee, and Board of Directors. Track and monitor grant income and grant-related expenses to ensure accurate financial reporting and compliance with funding requirements. Assist in the preparation of grant financial reports and supporting documentation as requested. Provide financial information and reports as requested by organizational leadership. Assist in preparing reports for grant funders and other stakeholders as needed. Attend Finance Committee meetings and provide financial reports and information as requested. Budget Development and Financial Planning Assist the Executive Director in the preparation of the annual organizational budget. Assist in the development of annual program, administrative, and organizational budgets. Monitor budget performance and provide budget-to-actual reports. Assist with financial forecasting and cash flow planning. Provide financial data and recommendations to support organizational decision-making. Compliance and Administrative Support Ensure compliance with Generally Accepted Accounting Principles (GAAP) and nonprofit financial management practices. Support annual financial reviews and work with the organization's accounting firm to complete the annual Form 990 preparation and filing process. Maintain supporting documentation for grants, contracts, and funding sources to ensure compliance with organizational and funder requirements. Maintain confidentiality of all financial, personnel, donor, and organizational information. Perform other related duties as assigned. Qualifications Education and Experience Bachelor's Degree in Accounting, Finance, Business Administration, or a related field preferred. Minimum of five (5) years of bookkeeping or accounting experience. Experience with accounts payable, payroll, bank reconciliations, financial reporting, and budget preparation. Experience working with nonprofit organizations preferred. Knowledge, Skills, and Abilities Strong knowledge of bookkeeping principles and cash-basis accounting. Understanding of Generally Accepted Accounting Principles (GAAP). Proficiency in QuickBooks, Microsoft Excel, and Microsoft Office applications. Strong data entry, recordkeeping, and organizational skills. Experience processing payroll and payroll taxes. Ability to prepare accurate financial reports and budgets. Knowledge of nonprofit accounting practices, fund accounting, and grant reporting preferred. Ability to present financial information in a clear and understandable manner to non-financial stakeholders. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently and consistently meet deadlines. Work Schedule This is a part-time position. Work hours (up to 24 hours per week) will be determined in consultation with the Executive Director based on organizational needs. Occasional attendance at Finance Committee meetings or Board meetings may be required.
