Full Job Description Primary Work Functions:
Reporting to the V.P. of Finance, this role will provide substantial oversight and supervision to grant/program and supporting services with regard to staffing and budget guidance. This position will also assist with the payroll process and the accuracy of data flowing into periodic grant/program invoicing. This role will assure, support and maintain quality in the activities of the NKFM accounting department as well as upholding the mission and values of the foundation. Major Job Duties and Responsibilities Grant Administration i. Bill grants timely and accurately (online, email and invoice). ii. Prepare monthly, quarterly and final or annual reports and budgets. iii. Understand federal, state and foundation grant rules and guidelines iv. Communicate with grant managers regarding projected expenditures and monitoring remaining grant balances. v. Prepare and enter journal entries to record grant billing and reclassify expense activity to the correct general ledger or program code. vi. Follow-up on grant receivables to ensure timely payment. vii. Review wage list semi-annually to ensure the accuracy of grant billing and budgets. viii. Prepare annual NKFM grant budgets. ix. Prepare and amend individual state/federal grant budgets. x. Lead bi-weekly staff allocation meeting. xi. Review coding on expense report and accounts payable payments Payroll Administration i. Assist staff with login and coding issues. ii. Prepare staff allocations and enter information into the schedule for each employee. iii. Review employee/manager approvals and total hours and send email reminders to staff each pay period. iv. Setup dates for timecard schedule generation and holidays v. Review/correct labor distribution job codes and location codes when schedules generate. vi. Add/remove supervisors, place idle part-time employees (SPA's) on leave in the payroll system. vii. Modify timecards for any FMLA staff for each pay period. viii. Prepare pay adjustments for each pay period. Single Audit i. Prepare for annual audit 1. Ensure grant activity reconciles. 2. Complete CFDA number and percentages. 3. Respond to auditor requests. Other i. Work with staff and volunteers in a positive way to aid in facilitating an effective and efficient accounting process. ii. Leads others in a team problem solving process. Prompts others to contribute knowledge and information to assist the team. Encourages the team to remain focused and on track and resolves any interpersonal issues arising that may jeopardize team success. iii. Consistently demonstrates and encourages others to act in a businesslike and professional manner. Takes extra effort to improve knowledge and skills to be the best in the profession. Adheres to the highest level of professionalism by demonstrating honesty, integrity and maturity. iv. Establishes and maintains proactive working relationships with volunteers, contributors and NKF staff. v. Demonstrates excellent organizational/multitasking skills, as well as effectively setting priorities, problem solving and follow through on responsibilities; proven written and verbal communication and interpersonal skills; ability to work independently as appropriate; Must maintain the highest level of confidentiality with all information obtained. vi. Meets deadlines while maintaining quality and accuracy on all tasks assigned. vii. Communicates clearly and effectively to others the steps in a process and the importance of following that process. Clearly understands the rationale for why processes must follow certain steps. Can identify multiple projects and prioritize them in order to meet required deadlines. Process existing project information and align others effectively within the department to achieve desired results. viii. Completes tasks on time or ahead of schedule while assisting others on techniques to improve their performance when able. Does not give up on tasks until completed in a quality manner and seeks assistance when needed. Education and Experience Bachelor's degree in accounting/finance or the equivalent experience plus three years of related experience with a proven track record of success. General knowledge of MS Office & MS Outlook with extensive knowledge of MS Excel, database and other accounting software. Working Conditions Office environment; Evening and weekend work occasionally required to successfully implement responsibilities. In state and possibly some out of state travel may occur, including occasional over-night stays. (Throughout the Public Health Emergency in response to COVID-19, all NKFM staff have been encouraged to and most staff are completing their work from home. This position is designed in a work from home format, with the expectation of returning to an in office environment once the pandemic and its associated control measures allow NKFM staff to do so in a safe way that protects them and NKFM's vulnerable populations that we serve.) Physical requirements; light physical effort equal to lifting or moving of lightweight materials. Regularly required to sit or stand, bend and reach.
