The Role As an Accounts Receivable Coordinator , you will play a crucial role in managing the company's accounts receivable function, ensuring accurate and timely invoice generation, dispute resolution, and payment collection. You will also be responsible for maintaining customer relationships, reconciling accounts, and supporting the organization's financial operations. Responsibilities
  • Review billing documentation (collaborate with sales order team where necessary) to ensure accuracy before generating invoices.
  • Generate and distribute accurate and timely invoices to customers based on contractual agreements and billing schedules.
  • Post payments received via check, credit card, bank deposits, and lockbox after retrieving and comparing transaction information (remittances) from vendor portals, EDI, and emails, etc. with corresponding customer account details.
  • Responsible for collections and chargeback resolution for all assigned accounts.
  • Maintain cohesive and comprehensive notes for all chargebacks.
  • Communicate with customers via phone, email, or mail to address payment issues, resolve billing discrepancies, and secure outstanding payments.
  • Maintain accurate accounting in Syspro for assigned accounts by researching and disputing shipping and quantity claims.
  • Review, analyze and resolve deductions (shortages, price difference, damages, allowances, etc.).
  • Monitor account deductions in Adesso and collaborate with internal and external stakeholders to offset deductions correctly in a timely manner.
  • Assess creditworthiness of new customers.
  • Other duties as assigned. Qualifications
  • Bachelor's degree in accounting, finance, business administration, or related field preferred.
  • Proven experience (3 years) in accounts receivable, billing, or related financial role with a strong understanding of accounts receivable processes and procedures.
  • Proficiency in accounting software and advanced skills with Microsoft software (Excel, Word, etc.).
  • Excellent attention to detail, critical thinking skills, and ability to prioritize tasks, and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to interact effectively with customers, colleagues, and management.

$48,000.00 - $62,000.00 per year
