Job Description

Hill's Lawn & Landscape | Steamboat Springs, CO Hill's Lawn & Landscape is looking for a motivated, organized, and self-directed Administrative Assistant / Bookkeeper to help support the day-to-day operations of our growing landscaping company. This is a flexible part-time position averaging approximately 18-24 hours per week, generally spread across 3 days per week. Typical work days are around 6-8 hours, though scheduling is fairly flexible. This role is a mix of remote administrative work, bookkeeping, customer communication, and occasional in-person tasks around Steamboat Springs. We're a small but growing company, so we're looking for someone who enjoys taking initiative, staying organized, solving problems, and helping improve systems as we grow. What the Job Looks Like A lot of the work can be done remotely from home, either independently or while collaborating with ownership and management through Discord or similar communication software. Some days are focused on bookkeeping, invoices, spreadsheets, emails, and office organization. Other days may involve helping solve operational issues, organizing systems, running business errands, visiting properties to help map or document areas, or assisting with projects that help improve how the company operates. This is not a highly corporate office environment. We value people who are dependable, friendly, adaptable, and able to figure things out without needing constant supervision. The ideal person for this role is someone who: Notices things that need to get done Can create and manage their own task list Learns software quickly Enjoys organization and problem solving Communicates well with customers and coworkers Likes being part of a growing small business where their work actually matters There is definitely room for growth and increased responsibility over time for the right person. Responsibilities Bookkeeping & Financial Tasks Reconcile company books monthly in QuickBooks Online Create and send invoices Enter customer payments Organize receipts and expenses Assist with payroll review and timesheets Pay company bills and keep records organized Generate and maintain spreadsheets and reports Office Administration Respond to routine customer emails and phone calls Create customer quotes using company pricing systems Maintain customer information in company CRM software CRM software training will be provided Assist with scheduling and recurring service organization Maintain organized customer and property notes Help improve workflows and company systems Reporting & Compliance File monthly, quarterly, and annual tax and state reports Maintain organized business documentation Keep track of important filing deadlines Operational Support Use SatQuote and mapping tools to measure properties Occasionally visit customer properties for documentation or mapping purposes Run occasional business errands around town Assist ownership and management with administrative and operational projects Preferred Qualifications Strong organizational skills and attention to detail Friendly and professional communication Ability to work independently Comfortable learning new software Motivated and self-directed personality Reliable transportation Huge Bonus / Nearly Required Strong Microsoft Excel or Google Sheets skills Familiarity with QuickBooks Online Previous administrative, bookkeeping, or office management experience Schedule & Pay Approximately 18-24 hours per week Generally 3 days per week Flexible scheduling Starting at $25/hour Regular pay increases based on performance and length of employment Opportunity for advancement into larger operational or management roles
