Role Description The Administrative Assistant Bookkeeper is a full-time, hybrid role based in New York, NY. This role supports the firm's daily operations by handling administrative tasks such as managing calendars, coordinating meetings, organizing files, and responding to phone and email inquiries. The position also includes bookkeeping responsibilities, including recording transactions, processing invoices and payments, reconciling accounts, and assisting with preparation of basic financial reports. The individual will maintain accurate and up-to-date records within accounting software, support attorneys and staff with billing-related tasks, and help ensure smooth office operations. Collaboration with the legal and administrative teams, along with maintaining confidentiality and professionalism, is essential. Qualifications Ability to prepare and review basic Financial Statements and support financial reporting processes. Strong Bookkeeping skills, including transaction recording, account reconciliation, and invoice management. Proficiency with Accounting Software and related tools used for billing and financial recordkeeping. Foundational knowledge of Finance principles as applied to law firm operations and client billing. Experience posting and verifying Journal Entries (Accounting) to maintain accurate ledgers. Excellent organizational and time management abilities, with strong attention to detail and accuracy. Clear written and verbal communication skills and a professional, client-focused demeanor. Ability to handle sensitive information with discretion and work both independently and as part of a team. Prior experience in a professional services or law firm environment is beneficial. High school diploma required; associate or bachelor's degree in accounting, finance, business, or a related field is preferred.
