Job Overview We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! Job will start part time but will eventually go to full time. Responsibilities Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, bank reconciliations, and financial reporting Oversee front desk operations, greeting visitors and clients with professionalism and warmth Handle multi-line phone systems efficiently, directing calls and taking detailed messages Provide administrative support such as data entry, filing, proofreading documents, and managing calendars Assist with office management tasks including supply ordering, maintaining organized files, and ensuring office equipment functions properly Support customer service efforts by responding promptly to inquiries via phone or email and providing support for client needs Maintain accurate records of all financial transactions and office correspondence to ensure compliance and easy retrieval Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in QuickBooks for bookkeeping tasks; familiarity with Microsoft Office (Word, Excel, Outlook) and Google Workspace is essential Excellent computer literacy including data entry, document proofreading, and file management Strong phone etiquette with experience managing multi-line phone systems; bilingual abilities are a plus for effective communication with diverse clients Experience in customer service or customer support roles; previous dental or medical receptionist experience is advantageous Ability to handle multiple tasks efficiently while maintaining attention to detail; excellent time management skills are critical Personal assistant or calendar management experience preferred for supporting executive schedules Join us to be part of a vibrant team that values professionalism, accuracy, and exceptional service.
