Company Overview Southeast Animal Eye Specialist is dedicated to providing exceptional ophthalmic care for animals, combining advanced veterinary expertise with compassionate service. Position Overview We are seeking an experienced and detail-oriented Central Bookkeeper & Regulatory Compliance Officer to serve as the financial and regulatory backbone of our veterinary practice. This dual-function role is responsible for maintaining accurate financial records, managing all tax obligations, and ensuring the clinic operates in full compliance with applicable federal, state, and local regulations. The ideal candidate combines hands-on Bookkeeping expertise with a working knowledge of healthcare or veterinary industry compliance requirements. Core Responsibilities Financial Bookkeeping & Accounting Record, categorize, and reconcile all daily financial transactions, including client payments, vendor invoices, and payroll entries, using practice-specific accounting software (e.g., QuickBooks, integrated tools). Manage accounts payable and accounts receivable, ensuring timely processing and accurate coding of all transactions. Prepare monthly, quarterly, and annual financial statements, including profit & loss reports, balance sheets, and cash flow summaries for practice leadership. Maintain the clinic Chart of Accounts in alignment with the Standard Chart of Accounts for veterinary practices. Oversee payroll processing and ensure all payroll tax withholdings and employer contributions are calculated and remitted accurately and on time. Conduct regular bank and credit card reconciliations; identify and resolve discrepancies promptly. Monitor and manage cash flow, flagging any budgetary concerns to practice ownership. Tax Compliance & Reporting Ensure timely preparation and filing of all federal, state, and local business tax returns, including income tax, sales tax, and applicable use taxes. Track, process, and pay all quarterly estimated tax payments and year-end tax liabilities to avoid penalties. Coordinate with the practice external CPA to provide organized, accurate financial data for annual tax filing and strategic tax planning. Maintain organized, audit-ready documentation for all tax filings, deductions, and supporting records. Identify and apply veterinary-specific tax deductions, credits, and exemptions (e.g., equipment depreciation, continuing education, medical supply deductions). File and maintain all required business license renewals, personal property tax returns, and jurisdiction-specific regulatory filings. Regulatory Compliance Monitor changes in federal, state, and local regulations affecting veterinary practices, including DEA controlled substance recordkeeping requirements, OSHA standards, and employment law obligations. Develop, maintain, and update internal compliance policies and procedures to ensure The clinic meets all licensing and operational regulatory standards. Maintain compliance tracking systems and documentation calendars to ensure timely renewals, filings, and audit readiness. Serve as the primary point of contact for any regulatory inquiries, inspections, or audits; coordinate responses and prepare required documentation. Provide compliance training guidance to practice staff on financial and regulatory obligations as needed. Ensure proper I-9, W-4, and employee record compliance in conjunction with HR functions. Qualifications Required Associate & or bachelor's degree in accounting, Finance, Business Administration, or a related field. Minimum 3 years of bookkeeping or accounting experience; veterinary, medical, or Healthcare practice experience is strongly preferred. Proficiency with accounting software (QuickBooks, or equivalent) and Microsoft Office/Google Workspace. Working knowledge of federal and state tax filing requirements for small businesses. Strong organizational skills with high attention to detail and accuracy. Preferred Certified Bookkeeper (CB) designation through the American Institute of Professional Bookkeepers (AIPB). Experience with veterinary practice management software. Excellent analytical and problem-solving ability. Strong written and verbal communication skills. Demonstrated ability to manage multiple deadlines with competing priorities. High degree of professional integrity and confidentiality. Proactive, self-directed work style with the ability to function independently. Team-oriented with strong interpersonal skills across clinical and administrative staff. Work Environment This is an in-office position based at Southeast Animal Eye Specialist, located in Newnan, GA Work closely with the practice owner, office manager, and external CPA to maintain the financial Occasional remote work may be available based on performance and practice needs.
Pay:
$32.00 - $35.00 per hour
