Job Description
Position Summary The Part-Time Bookkeeper is responsible for providing accounting, bookkeeping, financial reporting, and grant-related financial support for the agency. This position maintains the integrity of the organization's financial records by processing accounting transactions, preparing financial reports, reconciling accounts, supporting payroll accounting, assisting with budgeting and grant reporting, and collaborating with leadership during audits and financial planning. This position is based in Cinnaminson, NJ and may be performed in a hybrid work arrangement, based on agency needs and the successful candidate's qualifications. Standard business hours are 9:00 AM to 4:00 PM, and availability to office staff during these hours is necessary for coordination, meetings, and timely response to financial requests. Periodic on-site attendance is required for meetings, training, audits, or other business needs. This position is being offered to individuals who would join the Contact of Burlington County staff directly and is also open to candidates presented through an approved staffing agency. Regardless of employment arrangement, the individual is expected to maintain the same standards of confidentiality, professionalism, accuracy, and accountability. Essential Duties and Responsibilities Accounting and Bookkeeping Process accounts payable transactions and maintain accurate vendor payment records. Record and reconcile accounts receivable, including deposits and other revenue sources. Maintain the General Ledger and ensure all financial transactions are accurately recorded. Prepare monthly bank and account reconciliations. Maintain organized financial records in accordance with agency policies and grant requirements. Ensure the accuracy and completeness of all accounting records. Payroll Accounting Record payroll activity into the accounting system. Allocate payroll and fringe benefits to the appropriate funding sources and grants. Verify payroll allocations using approved payroll and grant documentation. Reconcile payroll-related accounting entries. Financial Reporting Prepare monthly, quarterly, and annual financial statements. Prepare financial reports for agency leadership and the Board of Directors. Generate routine and special financial reports as requested. Assist leadership by providing timely financial information for planning and decision-making. Budgeting and Financial Management Assist with the preparation and monitoring of agency budgets. Maintain financial forecasting tools and projections. Provide budget-to-actual reporting and financial analysis. Collaborate with leadership to identify financial trends and operational impacts. Grant Financial Administration Maintain financial records supporting grant funding. Assist with grant budgeting, expenditure tracking, and financial reporting. Work collaboratively with Operations and leadership to support compliance with grant requirements. Provide financial information necessary for grant reporting and reimbursement requests. Audit Support (as-needed basis) Prepare schedules, reconciliations, and supporting documentation for internal, external, and grant audits; respond to auditor requests in collaboration with agency leadership. Assist with implementing audit recommendations as assigned. Collaboration and Communication Work closely with office staff and leadership regarding financial activity, reporting needs, and budget monitoring. Provide accurate financial information in a timely manner. Qualifications Associate's degree in Accounting, Finance, or related field required; Bachelor's degree preferred. Minimum of three years of bookkeeping or accounting experience; nonprofit experience preferred. Experience with grant-funded accounting is highly desirable. Experience preparing financial statements and reconciliations. Working knowledge of Generally Accepted Accounting Principles (GAAP).
