Staff Accountant and Office Manager Position Summary Are you someone who thrives on keeping things organized, loves numbers, and finds satisfaction in making sure the behind-the-scenes magic runs smoothly? We're on the lookout for a Bookkeeper & Administrative Assistant who's ready to bring both precision and personality to our dynamic team. In this role, you'll be the heartbeat of our day-to-day operations assisting our Accountant, performing daily admin tasks, and keeping our internal gears turning without a hitch. If you're proactive, resourceful, and looking to gain experience in the world of construction, we would love to meet you! Key Responsibilities Bookkeeping & Financial Administration Assist with weekly accounts payable processing for two business entities (Trace Ventures and Trace Electrical) Process checks, including printing, mailing, and filing Collect and categorize receipts weekly in Project Management software Reconcile credit card statements monthly and track missing receipts Maintain digital and physical filing of financial documentation Communicating with vendors on missing invoices or payment inquiries Administrative & Office Support Help scan and organize incoming receipts, mail, and documentation Track and follow up on outstanding vendor/subcontractor compliance documents (e.g., insurance certificates, W-9s) Assisting in HR admin tasks (e.g., timesheet collections for payroll, insurance compliance and audits) Assist with office organization projects and maintain clean, functional shared space Qualifications 2+ years of experience in administrative roles Knowledge of QuickBooks Desktop Strong working knowledge of Microsoft Office (Buildertrend experience is a plus) Excellent attention to detail and ability to stay organized across multiple tasks Professional verbal and written communication skills Ability to handle confidential information with discretion Comfortable working independently and managing recurring weekly/monthly processes
