This role offers an exciting opportunity to blend financial management with administrative support, ensuring accurate record-keeping, seamless office functions, and excellent customer service. You'll be the backbone of our daily operations, providing vital support that empowers our team to succeed and grow. Responsibilities Manage accounts payable and receivable using QuickBooks, ensuring timely invoicing, payments, and expense tracking. Maintain accurate financial records through diligent data entry, bookkeeping, and reconciliation processes. Oversee office management tasks such as filing, organizing documents, and maintaining office supplies inventory. Handle multi-line phone systems with professionalism, providing exceptional customer support and client communication. Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently. Support front desk operations by greeting visitors, answering inquiries, and directing calls with courteous phone etiquette. Prepare reports, spreadsheets, and correspondence using Microsoft Office suite including Word and Excel to ensure clarity and accuracy. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Proficiency in QuickBooks for bookkeeping tasks; familiarity with other productivity software is a plus. Excellent computer literacy including data entry, spreadsheet creation, word processing, and file management. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Bilingual abilities are highly desirable to enhance client communication and team collaboration. Prior experience in customer service or front desk roles demonstrating excellent phone communication and professionalism. Demonstrated time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
