Job Description

Accounting Specialist
LOCATION

GENERAL RESPONSIBILITIES
Monitor the financial recording and reporting for external grants, restricted gifts, and endowment spending distributions. Assist with external grant reporting, ensuring the reports accurately reflect information in the financial system, comply with grant agreements, and amounts due are requested timely. Prepare the accounting of gift batches and endowment fund activity.

Monitor restricted gifts and endowment spending distributions to ensure funds are used effectively and in compliance with donor stipulations. Working closely with Advancement and Financial Aid, document and communicate restrictions and amounts available for use.
SPECIFIC FUNCTIONS AND RESPONSIBILITIES
1. Work with grant managers to set up and monitor accounts, prepare regular reports, and request payments. 2. Setup new restricted and endowment funds in the financial system and document donor stipulations for reference by the beneficiary departments. 3. Monitor the use of restricted gifts and endowment spending distributions to ensure that funds are used in compliance with donor stipulations. 4. Identify any funds that aren't being used and bring to the attention of the Director of Financial Services and/or CFO and VP of Advancement. 5. Calculate the amount available for endowed scholarships and communicate the information to Financial Aid. 6. Record the monthly and quarterly endowment pool transactions generated by the fund valuation software, currently Adavico. 7. Record gift batches from the university donor system and reconcile the gift clearing account. 8. Perform accounting, reconciling, and/or analytical assignments as requested by the Director of Financial Services. MINIMUM QUALIFICATIONS
Education:
(1) Associate's or Bachelor's degree in Business or Accounting, OR (2) demonstrated career progression and success in a similar position.
Experience and Knowledge:
1. Fluent in accounting with a deep understanding of debits and credits 2. External grant monitoring and reporting in preferred 3. Knowledge of not-for-profit accounting, endowments and endowment pools,and managing donor restrictions is preferred 4. Experience at a private institution of higher education is preferred
Skills and Abilities:
1. Strong attention to detail 2. Exhibit initiative, perseverance and great judgement 3. Demonstrate the highest standards of conduct, appearance and attitude. 4. Possess excellent verbal and written communication skills. 5. Have strong computer skills, expertise in Excel, Word, data analysis and systems operations. 6. Must have the ability to work independently with minimum supervision; to supervise and delegate appropriately, to take the initiative in assuming and completing tasks with the appropriate direction and advice from immediate supervisor. 7. Be honest, reliable, collegial, and accurate. 8. Must have a commitment to Christian higher education in general and the purpose and philosophy of higher education as promoted by the Baptist General Convention of Texas in general and of Wayland Baptist University in particular.

Successful completion of a background check and credit report is required upon hire.
ENVIRONMENT, HOURS, AND PHYSICAL REQUIREMENTS
Work Environment:
The work environment for this position is a standard office setting. Employees will work primarily at a desk or worksatation, utilizing standard office equipment such as computers, phones, and printers. The office maintains controlled termperature. Noise levels are generally moderate, with typical office sounds such as conversations and office machinery.
Hours of Work:
Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours.
Physical Demands:
 Frequently stand and walk;  Frequently flex upper trunk forward while sitting or standing;  Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;  Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;  Occasionally push or pull objects;  Occasionally flex upper trunk forward at the waist and partially flex at the knees;  Frequently reach at or below should height, and occasionally reach above shoulder height
