Job Description

We are a small manufacturing company looking for an experienced bookkeeper/accounting professional to take ownership of day-to-day accounting, payroll, reconciliations, and month-end reporting.
Our immediate priority is straightforward:
get the accounting caught up, keep it accurate, and keep it current. There is hands on bookkeeping work to be done, and we need someone who is comfortable working through the details and taking ownership of the books. Over time, we also want to improve how the work gets done. We are interested in reducing unnecessary manual entry, improving integrations between systems, and using automation and AI where they genuinely make sense. This is a part-time position with significant scheduling flexibility. Our business operates Monday through Friday from 8:00 AM to 8:00 PM, and weekend hours may also be available. We are primarily interested in finding the right person rather than requiring a specific daily schedule. Responsibilities Process bi-weekly payroll Manage accounts payable and accounts receivable Reconcile bank accounts, credit cards, PayPal, Amazon, and other payment/merchant accounts Maintain the general ledger and review transactions for proper classification and accuracy Investigate and correct reconciliation discrepancies Prepare and post journal entries Perform monthly closing procedures Prepare month-end accounts receivable and accounts payable reports Prepare monthly financial statements and management reports Monitor financial transactions for accuracy and unusual activity Assist with inventory, purchasing, vendor, and manufacturing-related accounting Reconcile transactions between QuickBooks, OrderDesk, e-commerce platforms, payment processors, and our internal MRP system Maintain payroll records and assist with payroll tax reporting, including Forms 940 and 941 Prepare information required for annual W-2 and 1099 reporting Maintain organized accounting records and supporting documentation Work directly with our CPA, management, and other outside accounting resources as necessary Assist with additional accounting, AR/AP, MRP, and administrative financial tasks as needed Process Improvement & Automation A significant part of this role is identifying opportunities to make the accounting function more efficient. We want someone who will ask questions such as: Why are we entering this information twice? Can this report be generated automatically? Can these transactions be imported instead of manually entered? Can this reconciliation be reduced to reviewing exceptions? Can information move directly between our systems? Can OCR, LLM, or another tool help classify, summarize, validate, or flag transactions for review? Can a recurring month-end task be standardized or automated? Can we eliminate this spreadsheet entirely? Systems We Use QuickBooks Enterprise Desktop Amazon, Newegg, OrderDesk, and our company website/e-commerce channels PayPal and other payment platforms Internal proprietary web-based MRP system Because we control our internal MRP system, there are opportunities to improve integrations, reporting, data exports, and accounting workflows rather than being limited entirely to off-the-shelf software. Qualifications 3+ years of bookkeeping or accounting experience preferred Strong QuickBooks Enterprise Desktop experience Experience with general ledger maintenance, journal entries, and month-end closing Strong understanding of account reconciliation Working knowledge of Generally Accepted Accounting Principles (GAAP) Experience preparing monthly financial statements Strong attention to detail and ability to identify discrepancies Ability to work independently and take ownership of accounting records Strong organizational and communication skills Comfortable learning and working with multiple software systems Strong interest in technology, automation, AI, and process improvement Willingness to learn new tools and rethink existing workflows Preferred Experience Manufacturing accounting Inventory accounting and reconciliation QuickBooks Enterprise inventory and reporting Cost of goods sold accounting E-commerce accounting Amazon marketplace reconciliation Payment processor reconciliation Payroll processing and payroll tax reporting Month-end closing Working directly with a CPA or outside accounting firm Sales tax accounting Reconciling an ERP/MRP or inventory system to
