Accounting Specialist Position Summary The Accounting Specialist is responsible for managing the firm's day-to-day bookkeeping, billing, accounting, and payroll functions. This role requires accuracy, attention to detail, confidentiality, and the ability to manage multiple financial processes in a fast-paced environment.

Firm Administrator and Partners Essential Duties and Responsibilities Manage bookkeeping and accounting functions for the firm. Process client billing, accounts receivable, e-billing, and collections, including monthly aged receivables reports for the partners. Manage accounts payable, including processing vendor invoices and payments. Enter cash receipts and client costs into the firm's billing and accounting systems. Prepare and process bank deposits for Operating, IOLTA, and HARAS accounts. Process and reconcile credit card transactions and accounts. Reconcile bank accounts in both the legal accounting system and QuickBooks Online. Complete month-end reconciliations and financial reporting in the legal accounting system and QuickBooks Online. Provide accounting firm with payroll information for the period, review payroll verification, and create journal entries, bank transactions, partner distributions, and Fidelity retirement account deposits. Prepare and provide weekly and monthly financial reports to the Firm Administrator. Maintain organized financial records and filing systems. Maintain employee personnel files, including I-9 documentation and other required records. Perform other administrative and accounting duties as assigned. Qualifications Ability to follow verbal and written instructions. Strong communication skills with the confidence to ask questions when clarification is needed. Excellent organizational, time management, and problem-solving skills. High level of accuracy, discretion, and attention to detail. Strong bookkeeping, accounting, and computer skills. Preferred Qualifications Experience with legal accounting and billing software. Knowledge of trust accounting and IOLTA compliance. Law firm experience preferred but not required. Experience with legal billing software and QuickBooks Online (QBO) preferred.
