Full Job Description Role:
Support the Wealth Advisor by delivering high-quality member/client service, managing operational workflows, and ensuring accurate documentation and compliance with regulatory standards. This role serves as a key liaison between clients, advisors, custodians, and internal partners while maintaining exceptional service, confidentiality, and operational excellence.
Essential Functions & Responsibilities:
Provide direct administrative support to Financial Advisors and relationship managers, including handling client communications, scheduling, and documentation in a fast-paced, client-focused environment. Track and follow up on pending transactions, documentation, deposits, withdrawals, RMDs, and other account servicing activities; ensure timely and accurate processing. Maintain compliant client files; adhere to cybersecurity, privacy, and data protection standards; prepare and organize records for advisors, custodians, and internal partners. Act as liaison between clients, advisors, custodians, and internal partners; demonstrate strong communication skills (written and verbal) to resolve inquiries and facilitate workflows. Utilize Microsoft Office Applications (Word, Excel, Outlook) and CRM platforms proficiently to support daily operations and reporting. Perform other duties as assigned.
Performance Measurements:
1. Ensure all member/client servicing activities, documentation, and transaction follow-ups are carried out within prescribed timeframes according to policies and procedures, with minimal errors. 2. Provide informed, professional, and accurate service and support to all member/clients and team members; respond to emails, messages, phone inquiries, and other correspondence in a timely manner. 3. Troubleshoot and resolve member/client and internal inquiries in a timely and accurate manner. 4. Maintain exceptional confidentiality, compliance with regulatory standards (including cybersecurity and data protection), and a consistently professional demeanor. 5. Demonstrate high attention to detail, strong organizational and time-management skills in a regulated environment. 6. Support Extra Credit Union's sales and service culture and loan growth. Experience Minimum one year of experience in an administrative, banking, financial services, or customer service role. Prior experience in wealth management, brokerage operations, or financial services administration is strongly preferred. Familiarity with Series 7 and 66 licensing workflows, custodian platforms, and account processing is a plus.
Education Minimum:
Associate degree or equivalent professional experience. Post-high school education in business, finance, or related field is desired. Willingness to obtain Life and Health insurance licensing within the first 1-2 years of employment. Interpersonal Skills A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and is usually of a personal or sensitive nature. Work may involve motivating or influencing others. Other Skills Strong organizational, multitasking, and time-management skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Applications (Word, Excel, Outlook) and CRM platforms. Investigative work requires attention to detail, clear documentation, and problem resolution. Comfortable working in a regulated, fast-paced environment with a high level of attention to detail. Physical Requirements This job requires using hands and fingers to keyboard for data entry into a computer, which may include repetitive motions, Ordinary visual acuity is needed to prepare and revise documents, Average hearing ability is necessary to receive detailed information verbally. This job is sedentary and may require the candidate to exert up to 20 lbs. of force occasionally. Work Environment No hazardous or significantly unpleasant conditions exist, such as in a typical office.
