Responsibilities Phone calls
- Answering the Avanti phone. Contacting businesses and institutions related to authority or billing questions. Training on and taking inquiry calls from clients, attorneys and other stakeholders. Invoicing
- Helping the Operations Director with all monthly invoicing tasks. Scan and file monthly client cost advance and Avanti debit receipts to Mari. Organization
- Updating Dropbox filing system. Organizing client files. File audits for fiduciary clients. Updating client relationship management system (EMS). Updating project management software. Maintaining office organization, cleanliness. Beauty and order. Mail processing
- Processing Avanti and client mail per the established process. Corner office
- Understand and fill-in for Client Finance duties. Build out historical ledgers for new fiduciary clients. Office equipment and supplies
- Trouble shoot office equipment; help staff with technology. Manage, update and fill inventory. Reporting
- Training on and aiding in all reporting processes. Redact bank statements for annual accounting report packets. Scheduling
- Managing calendars for fiduciaries. Client Documents
- New client document sorting and filing. Executing Authority
- Prepare and send Change of Authority letters. Follow up consistently. Ensure application of new authority. Client Assets
- Coordinate house clean out, estate sale, storage unit coordination for fiduciary clients.
Inventory, assess, and securely store personal property of fiduciary clients (coin collections, jewelry, artwork, etc.). Manage contents of client storage units. Assist with all fiduciary and corner office duties as directed.
