This role combines administrative excellence with customer service leadership, requiring someone who thrives in a fast-paced environment and takes initiative to drive company success. Essential Functions Client & Agent Relations Serve as first point of contact for clients, customers, vendors, and agents with exceptional service Answer multiline phone system and route calls professionally Greet all visitors with warmth and professionalism Act as liaison between staff, agents, and the public on behalf of Managing Broker Maintain client follow-up systems and oversee data input Administrative Operations Monitor and order office supplies Manage DropBox file systems Assist agents with MLS navigation and listing input Monitor contract files for completeness and proper documentation Prepare document packets for agents (listings, sales, new construction) Handle light accounting tasks including check printing, deposits, and reports File and input data (electronic and hard copy) Assist Property Management department manager with different tasks Agent Support & Development Onboard new agents with required forms, insurance, and contractor agreements Maintain agent records including licensing and independent contractor documentation Handle agent transfers in and out of the company Serve as liaison with Tennessee Real Estate Commission Distribute leads as directed by Managing Broker Schedule monthly Opportunity Time Train staff and agents on software platforms (DotLoop, MLS, etc.) Technology & Marketing Support Assist with website updates under Marketing Manager direction Prepare and send mass email campaigns Answer calls from Florida office via smartphone/video interface Maintain proficiency in required software platforms Event Coordination Assist with special events and vendor coordination Order food, drinks, and supplies for gatherings and meetings Required Qualifications Experience & Education High school diploma or equivalent required 3-5 years administrative experience, preferably in real estate Understanding of real estate practices and procedures Technical Skills Proficiency in Microsoft Office Suite (Word, Excel) Ability to learn and teach: MLS, DotLoop, Dropbox, BoldTrail, QuickBooks, Adobe Experience with multiline phone systems Computer literacy and ability to operate standard office equipment Core Competencies Exceptional verbal and written communication skills Strong organizational abilities and attention to detail Self-motivated with ability to work independently Flexibility and adaptability to changing priorities Professional appearance and demeanor Conflict resolution skills Customer service excellence Preferred Qualifications Real estate industry experience Previous experience in client-facing roles Familiarity with Tennessee and Florida real estate regulations Physical Requirements Ability to sit for extended periods Lift up to 25 pounds occasionally Operate computer equipment and standard office machines Communicate effectively via phone and in person Reasonable accommodations will be provided as required by law
Compensation & Benefits Base Compensation Starting Salary:
