The primary focus of the role will be supporting the broker's commercial brokerage and investment activities , with additional responsibility for leasing and leasing-related activities within a residential property portfolio. This is not a traditional administrative assistant position . The successful candidate will become an important part of the brokerage operation and will have direct exposure to transactions, clients, property owners, investors, tenants, marketing, prospecting, and business development. The ideal candidate is organized, resourceful, trustworthy, commercially minded, and capable of taking ownership of responsibilities without constant supervision . You do not need to be an expert in every area on day one. The ability to learn quickly, anticipate needs, solve problems, and follow through is more important than checking every box on the qualifications list. Key Responsibilities Commercial Brokerage & Transaction Coordination Coordinate commercial real estate transactions from listing through closing, including investment sales and leasing. Prepare, organize, and track contracts, addenda, amendments, disclosures, and other transaction documents. Monitor contract deadlines, contingencies, due diligence items, and closing requirements. Coordinate with clients, cooperating brokers, title companies, lenders, attorneys, inspectors, appraisers, and other transaction participants. Maintain accurate and compliant transaction files in accordance with applicable Texas requirements and brokerage policies. Ensure documents are properly executed, submitted, and maintained in transaction management and brokerage systems. Keep the broker informed of upcoming deadlines, outstanding items, and potential issues. Assist with preparation for client meetings, property tours, negotiations, and closings. Help coordinate due diligence and other transaction-related activities. Commercial Listings & Marketing Create, enter, and maintain commercial property listings on CoStar, LoopNet, Crexi, MLS, and other listing platforms . Coordinate property photography, signage, lockboxes, showing instructions, and property access. Assist with preparation of offering materials, marketing packages, email campaigns, and other property marketing initiatives. Maintain accurate property information, pricing, availability, and marketing materials. Coordinate property tours, inspections, appraisals, and other appointments. Assist with the broker's website, social media, and other marketing channels as needed. Sales & Business Development Help manage and maintain the broker's CRM and sales pipeline. Research property owners, investors, tenants, buyers, sellers, and other potential prospects. Assist with outbound prospecting, follow-up calls, emails, and other business development activities. Follow up with leads, prospects, past clients, and referral sources as directed. Help identify potential acquisition, disposition, leasing, and investment opportunities. Maintain detailed records of prospecting activity, conversations, opportunities, and follow-up requirements. Assist the broker with preparation for client meetings and business development activities. Help ensure leads and opportunities receive timely and consistent follow-up. Residential Leasing & Portfolio Support In addition to commercial brokerage responsibilities, the assistant will support leasing activities for residential properties within the portfolio.
Responsibilities may include:
Respond to prospective tenant inquiries and coordinate property showings. Market available residential properties and maintain accurate online listings. Communicate with prospective tenants and coordinate the leasing process. Prepare and coordinate residential lease documentation and renewals. Coordinate move-ins, move-outs, and other leasing-related activities as needed. Communicate with tenants, property managers, and other service providers. Track vacancies, lease expiration, renewals, and other important dates. Maintain organized tenant and property records. Follow up on leasing leads and help minimize vacancy periods. Broker & Business Operations Manage the broker's calendar, meetings, appointments, deadlines, and follow-ups. Monitor incoming emails, calls, and inquiries and ensure appropriate follow-up. Help prioritize the broker's daily activities and ensure important tasks do not fall through the cracks. Prepare meeting materials, reports, property information, and other items needed by the broker. Assist with day-to-day business operations and special projects. Maintain organized digital files and business records. Handle confidential client, financial, and business information with discretion. Identify opportunities to improve systems, processes, organization, and efficiency. Take ownership of recurring responsibilities and projects rather than waiting for instructions. What We're Looking For Required / Strongly Preferred Texas real estate license strongly preferred. Candidates with an inactive license may be considered depending on experience. Experience in commercial real estate, residential leasing, transaction coordination, brokerage, property management, or a related field. Working knowledge of Texas real estate contracts and applicable

Days 30-60 Take ownership of routine transaction and listing coordination. Maintain the CRM, pipeline, calendars, and transaction deadlines. Independently coordinate routine residential leasing activities. Begin taking a more active role in prospect follow-up and business development. Days 60-90 Proactively manage recurring brokerage and leasing processes. Anticipate deadlines and issues before they become problems. Take ownership of assigned transactions, listings, and projects. Compensation & Benefits Base Salary:
$65,000 per year.
Transaction Bonuses:
Earn a percentage of the commission generated on qualifying real estate sales and leasing transactions that you assist with or contribute to.
