Restoration Office Assistant Water Damage Solution - 5.0 Fremont, CA Job Details Part-time | Full-time $20 - $26 an hour 4 hours ago Benefits Opportunities for advancement Qualifications Restoration industry experience Restoration Executive administrative support Driver's License Construction industry experience Clerical experience Appointment scheduling Full Job Description About Us Water Damage Solution is a growing restoration and construction company specializing in water, fire, smoke, and mold mitigation, as well as full property restoration. We work closely with homeowners, insurance carriers, and insurance program networks to restore properties quickly and professionally. We are looking for an experienced Office Assistant who has prior experience in the restoration industry and understands insurance claims, estimating, and restoration workflows. This position is ideal for someone who has worked for a restoration contractor and can help keep projects organized from the initial loss through project completion. Key Responsibilities Manage insurance claim documentation and maintain organized job files Assist with preparing, reviewing, and submitting Xactimate estimates and supplements Communicate with insurance adjusters, third-party administrators, homeowners, and vendors Track estimate approvals, supplements, and claim progress Coordinate project scheduling with technicians, project managers, and subcontractors Upload documentation, photos, moisture logs, and invoices to insurance program portals Assist with invoicing, billing, and final documentation Maintain digital and physical project records Answer incoming phone calls and emails while providing excellent customer service Support company ownership with daily administrative and operational tasks Help ensure all projects remain organized, compliant, and on schedule Qualifications Minimum 2 years of experience working in the restoration industry (required) Experience working with insurance claims and restoration documentation Experience using Xactimate (preferred) Familiarity with insurance program work Strong organizational and multitasking skills Excellent communication and customer service abilities Proficient in Microsoft Office and Google Workspace Ability to work independently while managing multiple active projects Preferred Skills Water mitigation and reconstruction knowledge Experience preparing estimates and supplements Understanding of insurance claim procedures and restoration documentation requirements Familiarity with IICRC standards and restoration industry best practices What We Offer Competitive pay based on experience Opportunity to grow with a fast-growing restoration company Supportive, team-oriented work environment Long-term career opportunities with room for advancement Valid Drivers license required.
