Contracts Coordinator Marques General Engineering Roseville, CA Job Details $28 - $35 an hour 2 hours ago Full Job Description Job Purpose The Contracts Coordinator is responsible for providing critical administrative and organizational support to the Corporate Counsel, ensuring efficient management of legal documentation, and contract workflows. This role involves meticulous handling of sensitive legal materials, maintaining accurate filing systems, and facilitating timely communication across internal departments and external stakeholders. The Contracts Coordinator plays a key role in streamlining contract lifecycle processes, coordinating document execution, and supporting legal review procedures. By upholding confidentiality standards and promoting operational consistency, this position contributes to the legal team's effectiveness and supports the organization's broader risk management and project delivery objectives. Duties and Responsibilities For all
MGE Entities:
Contract and Task Coordination Support:
Maintain organized contract files and tracking logs, monitor key dates and deliverables, and assist Corporate Counsel by preparing task lists, reminders, and status updates to ensure timely completion of legal and compliance-related responsibilities.
Insurance Certificate Oversight:
Obtain and verify job-specific insurance certificates from brokers, ensuring compliance with contractual requirements, and distribute them promptly to project stakeholders before the start of work.
Cross-Departmental Compliance Assistance:
Support collaboration across departments by coordinating meeting logistics and assisting Corporate Counsel in tracking contractual and regulatory obligations. •
Subcontract Compliance Support:
Assist Corporate Counsel in preparing and organizing subcontract and work authorization documents, ensuring agreements are properly filed and tracked prior to project start. Maintain and update subcontractor compliance logs to keep Field Operations informed of status.
Subcontractor Compliance Management:
Oversee subcontractor compliance by tracking essential risk-related documents, such as executed master agreements, work authorizations, and insurance certificates.
Preliminary Notice Compliance:
Coordinate the timely and accurate distribution of preliminary notice information to vendors and subcontractors, ensuring compliance and preventing premature delivery.
Preliminary Notice Filing and Maintenance:
Submit and support preliminary notices to relevant parties within required timelines and file them promptly upon contract receipt. Maintain completion notices to protect the organization's rights to file liens on projects.
Annual Insurance Compliance Audit:
Conduct annual audits of insurance certificate inventory and coordinate renewals with brokers to ensure continuous compliance before expiration.
OCIP Compliance Tracking:
Monitor and maintain compliance documentation for OCIP insurance certificates, providing accurate information to support various departments during audits.
Comprehensive Insurance Compliance Tracking:
Oversee tracking and maintenance of all insurance certificates and associated documentation for clients, subcontractors, and vendors to ensure contractual compliance.
Claims Documentation Support:
Assist Corporate Counsel and Director of Human Resources by compiling, organizing, and maintaining documentation for insurance claims in the organization's Claims Tracker, ensuring required materials are accurate, complete, and readily accessible for timely submission. • Oversees daily office operations, ensuring efficient administrative support, facility management, vendor coordination, and a productive workplace environment.
Qualifications Education and Experience:
Minimum of 2 3 years of administrative experience in a legal or corporate setting, with demonstrated proficiency in document management, contract organization, and compliance support.
Technical Efficiency:
Expertise in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, OneNote) and in Contract Lifecycle Management ("CLM") tools to facilitate efficient communication, documentation, and data management.
Compliance Reporting and Analysis:
Proficient in creating and updating detailed reports, dashboards, and visualizations to monitor compliance tracking, contract performance, analytics, and risk assessment.
Multitasking and Organizational Precision:
Proven capability to manage multiple projects simultaneously, meet deadlines, and prioritize competing obligations with exceptional efficiency.
Pay:
$28.00 - $35.00 per hour
