Job Overview We are seeking a motivated and detail-oriented Student Accounts Coordinator to join our dynamic team. In this role, you will be the office lead for student account compliance. Key Responsibilities The coordinator manages all aspects of student billing, payment processing, and governmental financial assistance. This role connects the business office with state, federal, and private funding programs. The specialist ensures compliance with educational regulations, proactively identifies institutional funding opportunities, and helps vocational students navigate complex aid options to afford their education. Role is primary contact for students. Due to complexities of responsibilities candidate must be able to handle multiple priorities efficiently while maintaining accuracy in a fast-paced environment.
Financial Aid & Governmental Assistance Fund Administration:
Coordinate and process federal student aid (Title IV) disbursements, including Pell Grants and Direct Loans.
State Agency Liaison:
As assigned, serve as a point of contact for New Jersey state funding bodies, including the Higher Education Student Assistance Authority (HESAA) and the NJ Tuition Aid Grant (TAG) program.
Vocational & Workforce Programs:
Manage billing and compliance for workforce development grants, including the NJ Department of Labor (DOL) One-Stop Career Centers, Workforce Innovation and Opportunity Act (WIOA) funds, and Division of Vocational Rehabilitation Services (DVRS).
Veteran Benefits:
Certify and process VA education benefits, including the Post-9/11 GI Bill®, ensuring strict compliance with Department of Veterans Affairs regulations.
Additional Funding Development Grant & Scholarship Research:
Actively research and identify new corporate partnerships, private foundation grants, and community-based scholarships to expand financial aid options for students.
Alternative Funding Outreach:
Cultivate relationships with local New Jersey employers, industry groups, and non-profit organizations to secure tuition sponsorships and training grants.
Student Resource Advocacy:
Assist institutional leadership in building external funding pipelines to lower tuition barriers for low-income or displaced workers.
Billing & Collections Account Management:
Generate accurate tuition statements, oversee customized payment plans, and monitor delinquent student accounts.
Cashiering Operations:
Process daily payments, reconcile transactions, and prepare secure bank deposits.
Refund Processing:
Calculate and execute student refunds resulting from overpayments, financial aid/sponsor credit balances, or official course withdrawals.
Corporate Accountability Internal Compliance:
Support compliance with SOX (Sarbanes-Oxley Act) controls and internal audit procedures. Process journal entries, account reconciliations, and financial transactions in compliance with GAAP (Generally Accepted Accounting Principles).
Regulatory Compliance:
Maintain student privacy and financial records in strict accordance with FERPA, Title IV regulations, and New Jersey state guidelines.
Auditing & Reporting:
Assist with internal and external financial audits, the annual FISAP filing, and the preparation of
IRS 1098-T
tax forms. Maintain institution's live tracking status portal.
