Position Summary The DOT Compliance Specialist supports driver safety and regulatory compliance by assisting drivers with Hours of Service (HOS), Electronic Logging Devices (ELDs), DOT inspections, citations, and related policies. The role combines driver support and coaching with compliance monitoring, documentation, orientation, and coordination across Safety, Operations, Shop, Recruiting, Payroll, and Billing. This position requires flexibility in a fast-paced environment where priorities may shift with driver needs, safety events, and regulatory issues. Essential Duties & Responsibilities Serve as a Safety point of contact drivers; answer questions, resolve issues, and route matters as needed. Support and coach drivers on ELD operation, and HOS compliance, providing refresher training as needed. Support new-hire orientation by communicating policies/procedures for inspections, tickets, pets, riders, and HOS. Audit HOS records for potential violations and coach drivers on compliance. Process and monitor DOT roadside inspections, including tracking reports, reviewing violations, coordinating corrective action, obtaining required signatures/repair verification, and submitting completed documentation to appropriate agencies. Maintain DOT inspection data and prepare weekly staff meeting reporting. Process driver tickets, citations, and fines by researching responsibility, tracking court matters, coordinating payments or chargebacks, maintaining records, and monitoring final disposition. Update driver employment/status information in safety systems (McLeod, Samsara, RAIR, and Supervision). Maintain Samsara vehicle safety settings according to company standards. Manage driver parking permits and pet authorizations, and communicate new/changes to Shop and Payroll. Perform other Safety Department administrative and compliance duties as assigned. Systems & Technology Regularly uses fleet, safety, compliance, and communication systems, including Samsara, McLeod, Lytx/RAIR, SENTIX, Supervision, Permishare, and Microsoft products. Transportation technology experience is preferred; training may be provided on company-specific applications. Knowledge, Skills & Abilities Knowledge of FMCSA HOS and DOT compliance requirements and troubleshoot ELD/driver-log issues. Strong computer skills, including Microsoft products, data entry, and accurate records management. Strong communication and coaching skills, including the ability to handle driver questions, complaints, and corrective-action conversations professionally. Strong organization, follow-up, confidentiality, and independent judgment, with appropriate escalation of significant safety or compliance concerns. Preferred Qualifications Experience in trucking, transportation safety, fleet operations, driver compliance, or a related field. Familiarity with FMCSA HOS and driver/vehicle inspection requirements. Experience reviewing DOT inspections, citations, MVRs, or driver safety records and providing driver coaching.
