Program Quality & Compliance Coordinator Supervisor:

Pay Range:
$25.00-27.00/hour Position Overview The Program Quality & Compliance Coordinator supports the quality, integrity, and regulatory compliance of The Arc of Benton County's programs. The position serves as a key link between participant records, service documentation, billing, staff training, and required reporting. The Coordinator ensures that services are properly authorized, documented, reportable, and billable and that program records remain complete and audit ready. The position also provides occasional program coverage and, as capacity allows, assists with communications, outreach, and special events. Essential Duties and Responsibilities Quality Assurance & Participant Records Maintain and routinely review participant records for completeness and compliance Track ISP dates, service authorizations, Action Plans, safety plans, protocols, and other required documents. Ensure program staff review and acknowledge required participant-specific plans and protocols. Conduct routine internal record reviews and maintain QA tracking systems and calendars. Assist with preparation for licensing, certification, audits, and quality assurance reviews. Documentation & Billing Support Monitor completion and quality of progress notes and other required service documentation. Work with billing and program staff to identify and resolve documentation or authorization issues affecting payment. Follow up with CMEs and other appropriate parties regarding expired or missing authorizations, ISP renewals, service-code discrepancies, overlapping services, and other billing-related concerns. Help identify recurring documentation or billing problems and improve systems to prevent them. Staff Training & Compliance Track required staff training, certifications, continuing education units (CEUs), and renewal dates. Maintain records demonstrating compliance with staff training requirements. Identify documentation or training concerns and work with program leadership to address them. Reporting & Coordination Prepare and submit required reports to CMEs and other oversight entities. Maintain reporting deadlines and records of submitted reports. Communicate with program staff, CMEs, and other partners to obtain needed information and resolve documentation or compliance concerns. Program & Organizational Support Provide occasional direct program coverage and participant support when needed. Assist staff with documentation and compliance questions. Participate in staff and program meetings as appropriate. As time and program priorities allow, assist with website and social media updates, community outreach, organizational events, and special projects. Participant health and safety, regulatory compliance, required documentation, billing integrity, and required reporting take priority over discretionary communications, outreach, and special projects. Qualifications Minimum Qualifications Strong organizational skills and attention to detail. Ability to independently manage multiple responsibilities and deadlines. Strong written and verbal communication and problem-solving skills. Ability to review detailed records and identify missing, inconsistent, or inaccurate information. Ability to learn and effectively use electronic documentation and billing systems. Ability to maintain confidentiality and appropriately handle protected information. Ability to work independently and collaboratively. Ability and willingness to provide occasional direct program support. Preferred Qualifications • Experience in intellectual/developmental disability services, human services, healthcare, Medicaid-funded programs, quality assurance, compliance, billing support. • Familiarity with Oregon ODDS services, ISPs, CMEs, and eXPRS.
Pay:
$25.00 - $27.00 per hour
