Job Description

The Compliance & Grants Analyst supports a Legal Aid in Southern California's grant portfolio through financial analysis, invoicing, compliance monitoring, and reporting. Reporting to the Director of Grants, this role helps ensure compliance with federal, state, and local grant requirements, maintains audit-ready records, and coordinates timely, accurate invoicing to funders. The ideal candidate is detail-oriented, analytical, collaborative, and committed to advancing access to justice.
Key Responsibilities:
Grant Compliance & Monitoring:
Monitor and review grant-funded expenditures and transactions for compliance with grant requirements and applicable regulations, identifying and resolving discrepancies or non-compliant charges. Manage grant administration activities, including maintaining audit-ready files, tracking funder requirements and deliverables, coordinating invoice submissions, and serving as a point of contact for funder communications. Support grant compliance by reviewing procurement and vendor payment activities and assisting with the development and maintenance of internal controls, procedures, and compliance documentation.
Financial Analysis and Reporting:
Prepare grant financial reports, budget-to-actual analyses, variance reports, and other financial documentation for management review and funder reporting. Process and track grant-related financial transactions, including invoices, purchase orders, reimbursement requests, and cash drawdown reconciliations. Support grant accounting functions by assisting with month-end and year-end close activities and coordinating with finance staff to compile financial data for proposals, reports, and funder monitoring.
Grant Portfolio Coordination & Documentation:
Coordinate and maintain grant administration activities, including tracking grant deadlines, reporting requirements, deliverables, renewals, funder communications, and maintaining accurate grant files and documentation. Collaborate with program, finance, compliance, and administrative staff to gather information, manage internal timelines, and support timely completion of grant applications, reports, and funder requests.
Sub-Recipient Monitoring:
Support sub-recipient monitoring activities by reviewing financial and compliance documentation, maintaining monitoring records, tracking corrective actions, and conducting required eligibility and debarment checks.
Audit Support & Records Management:
Support audits, monitoring reviews, and funder site visits by preparing schedules, reconciliations, and documentation, responding to auditor requests, and maintaining organized grant files in compliance with retention and reporting requirements.
Training & Technical Assistance:
Provide training and guidance on grant compliance requirements, develop reference materials, and perform other duties as needed to support organizational objectives.
Qualifications:
Education & Certifications:
Bachelor's degree in Accounting, Finance, Business Administration, Public Administration, or a related field required; Certified Grants Management Specialist (CGMS) certification or progress toward certification preferred.
Experience :
Minimum three (3) years of experience in grants management, fund accounting, compliance, or a related field required. Experience with federal grants, 2 CFR Part 200, and nonprofit, advocacy, or community-based organizations strongly preferred.
Knowledge, Skills, and Abilities:
Grant & Financial Compliance:
Working knowledge of 2 CFR Part 200, federal grant compliance requirements, governmental accounting principles, and fund accounting practices.
Technical Proficiency:
Experience with financial management systems and grant tracking databases (e.g., Tyler Munis, MIP, SAP) and advanced Microsoft Excel skills, including pivot tables, XLOOKUP/VLOOKUP, and data analysis.
Organization & Communication:
Strong attention to detail, multitasking, and clear communication skills.
