About the Role As a State Compliance Document Specialist, you'll play a key role in helping nonprofit clients meet their state filing requirements. You'll prepare and process compliance filings, maintain accurate documentation, and coordinate with internal teams to ensure every engagement is completed accurately and on time. This is a task-focused, detail-driven role — ideal for someone who takes pride in doing meticulous work and staying on top of regulatory requirements. What You'll Do Prepare and process state compliance filings, including annual reports, charity solicitation registrations, reinstatements, and renewals Organize and assemble required documentation, financial materials, and supporting records for each client engagement Monitor filing deadlines and submission requirements to ensure timely, accurate delivery Maintain accurate records in our CRM and internal systems Research and stay current on applicable state and federal agency requirements Communicate clearly with Project Coordinators and team members regarding task updates, missing information, or potential issues Review client-provided financial statements for accuracy and flag any discrepancies Contribute to internal SOPs and reference materials to support consistent team execution What We're Looking For 2+ years of experience in nonprofit administration, document preparation, accounting, service fulfillment, or a related field or comparable experience Basic understanding of nonprofit compliance requirements or administration Ability to read and interpret financial statements and identify inconsistencies Strong attention to detail and organizational skills — you can manage complex, detail-driven work without things slipping through the cracks Clear communicator who can translate regulatory requirements into plain language Comfortable managing multiple engagements and deadlines simultaneously in a high-volume environment Experience working within a CRM or similar system Proficiency with Microsoft Office; comfort using AI tools to support efficiency and accuracy Adaptable, accountable, and eager to grow Why Foundation Group We're a mission-driven company built around a simple belief: nonprofits and small businesses are essential to the health of our communities, and they deserve expert support to thrive.
