POSITION OBJECTIVE
The Financial Aid Officer is responsible for the financial aid packaging, submitting financial aid budgets for review and awards while following policies and procedures set forth by the Institution, DOE, ACCET, BPPE, and other governmental agencies not mentioned. InterCoast's Financial Aid Officers are often the first contact point for prospective students and parents inquiring about options to pay for their education. Therefore, it is a commitment to optimum customer service while providing all sources available to the student based on eligibility and most beneficial for the student is a requirement.
  • Pay is negotiable based on experience, level of education, school financial aid experience, and management experience.
SPECIFIC DUTIES AND RESPONSIBILITIES
  • Initiate and completes FA files (hard copy or electronic as appropriate). Uploads all student financial aid packages and subsequent documents into Orbund.
  • Process and submit term-based funding for degree programs; process and submit additional academic year funding as applicable.
  • Obtain in-school deferment if there is prior financial aid loan history for applicant; submit to Manager, Student Accounts.
  • Submit proration preliminary awards for transfer credit students, restarts and upgrades; ensure monitoring is reported to Global.
  • Offer funding options (Non-Title IV) for restarts who have balances from previous enrollments.
  • Adjust loan period and budget for any reentry students, and request reinstatement of any refunded loans, as applicable.
  • Speaks with prospective students to review costs, financial aid eligibility requirements, and tuition gap financing options.
  • Explains the financial aid process, required forms, the student's rights and responsibilities for receiving and maintaining financial aid by providing information and answering questions.
  • Assists students and parents with directions for requesting FSA User IDs and the process for completing a FAFSA (Free Application for Federal Student Aid), MPN (Master Promissory Notes), and the online student loan entrance counseling.
  • Obtains prospective student's information to calculate estimated financial aid award, per federal, state, and institutional rules and regulations.
  • Completes all necessary financial aid forms for all prospective and enrolled students.
  • Review ISIR to determine eligibility.
  • Complete verification when applicable.
  • Complete C-Code document review and submission when applicable.
  • Review all received documents for completion and accuracy before submitting the file to Global for processing.
  • Provide continuous interaction with the prospective student and parent to follow up on missing or deficient information and status updates on their FA application process.
  • Provides information to the student in an accurate, timely, professional, and courteous manner.
  • Maintains strong communication with Admissions
  • Continuous awareness and accountability of the student's progress.
  • Attend mandatory training sessions as assigned by supervisor to stay updated with policy or regulation changes, at least 4 annually, suggested to be completed quarterly.
  • Input updated student information in the institution's SIS system.
  • Responds professionally and researches to resolve problems related to operations handled by the department
  • Upload VA and agency documents to Smartsheet for processing by the corporate business office.
  • Maintains all filing for financial aid documents in the student hard copy or electronic file as appropriate.
  • Submits completed budgets with a no higher than 1% rejection rate
  • Submit MDR's within 24 hours of receipt.
  • Maintain a minimum of 90% of finished packaging and processing of their own FA files.
  • Assists with any audits conducted.
  • Participate in training sessions, calls, and workshops, as necessary.
  • Financial Aid Officers are required to assist in various student services functions, as needed and requested; therefore, cross training is required.
  • Other job-related duties as assigned
Qualifications:
1. A minimum of two years of Financial Aid experience in a school setting or experience in loan processing, accounting-related duties, or equivalent. 2. Strong computer skills (Outlook, Word, Windows, etc.) 3. Professional Communication- Verbal and Written 4. Availability to work evenings and Saturdays is required 5. Excellent customer service skills with motivation and enthusiasm with sensitivity to student needs 6. Must be mindful of the urgency of processing student files and deadlines. 7. Due to required access to Financial Aid systems, the individual cannot be in default on a student loan or overpayment on grants
