Illinois and Florida:
roughly 600,000 SF of multi-tenant flex and industrial space, single tenant commercial, and residential holdings. Upcoming development projects will substantially increase the asset base over the next several years. The team is lean and the portfolio is growing — this role adds structure, technical depth, and financial discipline. The role You work alongside the Real Estate / Property Manager, who leads tenant relationships and day-to-day operations. Your focus is the financial and analytical side of the portfolio — lease economics, cost recoveries, expense control, reporting, and the systems that support informed decision making. You combine operational knowledge with financial expertise to maximize portfolio performance. Responsibilities Lease structuring, restructuring, and administration Support lease restructuring across the existing portfolio: identify below market rents, weak escalation clauses, and recovery gaps; model the economics of restructuring versus holding Prepare negotiation materials for renewals and new leases: market comps, rate analysis, escalation scenarios Work with external lease advisory consultants on new acquisitions and development projects — you are their day-to-day counterpart and you make their recommendations stick operationally Maintain complete, current lease abstracts for every tenant across the multi-tenant portfolio Track critical dates: expirations, renewal options, escalation triggers, notice deadlines; flag upcoming expirations at least six months out with renewal economics prepared Recoveries and expense management Own CAM reconciliations end to end: calculate, document, bill, and resolve tenant queries Track operating expenses by property and category; flag anomalies against budget and prior year Ensure tenant cost recovery matches lease terms — identify and close leakage where costs are absorbed that should be passed through Optimization and systems Build and continuously improve the portfolio's data infrastructure: rent rolls, trackers, dashboards, and reporting templates Lead implementation of the financial and accounting modules of Buildium, the lease administration platform already in place; own data quality and migration Standardize recurring processes (reconciliations, reporting cycles, lease renewals) so they run on schedule with minimal friction Identify cost reduction and revenue enhancement opportunities across the portfolio and quantify them for ownership Reporting and analysis Maintain the portfolio tracking workbook: rent roll, occupancy, operating expenses, capital expenditure log Feed the monthly portfolio reporting process with clean, validated numbers Ad hoc analysis as needed: acquisition underwriting support, hold or sell questions, refinancing preparation, development project support Requirements 4 to 6 years of experience in commercial real estate asset management, lease administration, or property accounting, ideally with exposure to multi-tenant flex, industrial, or office properties Hands-on experience structuring and negotiating commercial leases: base rent, escalations, recovery structures (NNN, modified gross), renewal options, and tenant improvement (TI) economics Direct experience preparing CAM reconciliations and building lease abstracts; this role requires proficiency in both from day one Strong Excel skills: the ability to build clean models and structured trackers without being asked Highly self-motivated: comfortable in a small, entrepreneurial environment without big company support systems — you take initiative and solve problems proactively Collaborative with a strong sense of ownership: you work alongside an experienced operations manager who knows the buildings and tenants deeply; you add structure and technical depth Chicago based or willing to relocate Nice to have Exposure to ground up development Experience with Buildium; Argus, Yardi, or MRI exposure is a plus Florida market familiarity
