The Operations and Financial Coordinator provides the day-to-day management of the Brunswick Community College Foundation's financial processing, compliance, database integrity, and reporting to ensure accurate and efficient Foundation operations. The coordinator is responsible for maintaining accurate donor financial records and will take an active role in generating reports to be used for fundraising initiatives and grant writing. The coordinator serves as the primary point of operational and administrative contact for internal campus departments and external community stakeholders such as banks, investment advisors, and auditors. This position required proficiency in computer applications, data analysis, report preparation, and written and oral communication. Knowledge of not-for-profit accounting practices - including investments, endowment accounting, and Generally Accepted Accounting Principles (GAAP) and proficiency with fundraising databases are also required.
FINANCIAL
Prepare accounts payable checks, process gifts, pledges, deposits, and payments, and perform journal entries Perform monthly bank reconciliations, credit card reconciliations, cash and account reconciliations, and investment statement review Develop and monitor the annual Foundation budget with support from the Executive Director and Board Finance Committee Prepare and manage the annual audit, year-end 1099 statements, Finance Committee reports, and donor financial statements Ensure compliance with policies and regulations Record and acknowledge all gifts in the CRM Coordinate the processes for campus payroll deductions, ACH payments, and donation distribution to program accounts Track scholarship funds and restricted accounts
OPERATIONS
Develop reports to be used in regular donor communication and ensure accuracy and quality of data used for measuring performance metrics and promotional materials Research grant opportunities, generate supporting data, and complete grant applications to support the fundraising goals of the Brunswick Community College Foundation Manage scholarship awarding in coordination with the Office of Student Financial Resources Provide the highest level of customer service throughout donor interactions and represent the Brunswick Community College Foundation at campus and community functions Maintain donor files, performing annual audits of forms and donor contact information Serve as liaison to the Foundation Board of Director's Finance Committee Other duties as required Associate Degree in Business Administration, Accounting, or a related field Two years or more of accounting and bookkeeping experience Intermediate or higher user of QuickBooks Excellent interpersonal, written, and verbal communications skills: demonstrated discretion and confidentiality required Proficiency in Microsoft Office applications Familiarity with CRM systems Ability to communicate with all levels of employees, Foundation Board Members, donors and community members Ability to work additional hours, including evenings and weekends as needed, due to special events and meetings Working knowledge of investment tracking and not-for-profit accounting Highly detail-oriented with a strong customer service-focus
